Job Requirements
- High school diploma or equivalent
- 1-2 years of experience in event coordination or related field
- Strong communication skills both written and verbal
- Proficiency in Microsoft Office suite
- Ability to work flexible schedules including evenings and weekends
- Physical ability to lift up to 25 pounds
- Ability to travel between OMCA locations as necessary
Job Qualifications
- Ability to display and encourage visitor and internal customer service
- 1-2 years of related experience
- English language proficiency in both spoken and written form
- Knowledge and experience in event production and audio-visual systems
- Familiarity with food and beverage service and customer relations
- Experience managing vendor relationships
- Proficient in Microsoft Office including Word, Excel, and PowerPoint
Job Duties
- Maintain all event documents including insurance records, permits, contracts, loading requirements and convert to digital format
- Maintain a database of rental clients and vendors
- Act as initial point of contact for event inquiries and respond to clients promptly via writing, in person, or telephone
- Participate in the request for proposal process for acquiring preferred vendors and track their success, communicate outcomes to clients and staff
- Track and maintain preferred vendor licenses, permits, and insurance
- Process deposits and purchase authorizations for all Event Services clients and vendors
- Conduct market research on event rental programs, vendors, and services to grow a rental program
- Track revenue and expenditures for external events
- Coordinate and maintain minutes for Production meetings
- Facilitate post-event follow-up including processing invoices, incident reports, record keeping, and client communication
- Collaborate with Museum operations regarding facility usage and event execution ensuring compliance with local, state, and federal regulations
- Troubleshoot unexpected issues that arise during events
- Schedule and conduct client walk-throughs for potential rental events
- Create quotes for potential event rentals based on OMCA guidelines
- Convert quotes into rental contracts and provide them to clients
