Job Requirements

  • Must be legally eligible to work in the United States
  • Minimum of 3 years experience in event planning or related field
  • Proficient in event software such as Opera and Social Tables
  • Strong communication and negotiation skills
  • Ability to manage multiple projects and meet deadlines
  • Must have a professional demeanor
  • Willingness to attend industry events and networking opportunities
  • Ability to handle guest concerns with professionalism and efficiency

Job Qualifications

  • Extensive knowledge of Opera, Social Tables, and Property Manager preferred
  • Experience with CRM and event management software a plus
  • Exceptional organization and time management skills
  • Ability to multitask and adapt to changing priorities
  • Creative problem solving skills
  • Strong understanding of food, beverage trends, Sonoma wine culture, and event design
  • Excellent communication and negotiation skills
  • Minimum of 3 years experience in luxury hotel event planning, catering sales, or wedding coordination
  • Proven ability to generate revenue and increase event sales through proactive outreach and relationship-building

Job Duties

  • Drive event and wedding revenue by prospecting new clients and nurturing relationships with planners and organizers
  • Proactively research and develop new market opportunities to position the property as a premier event destination
  • Maximize event revenue and profitability by managing booking guidelines and collaborating with the sales team
  • Represent the hotel at industry events including expos and tradeshows
  • Serve as main point of contact ensuring seamless transition from contract to execution
  • Prepare detailed proposals using Social Tables and Opera software
  • Coordinate site inspections and tastings highlighting hospitality and culinary excellence
  • Develop and implement creative event concepts tailored to high-end clientele
  • Ensure flawless event execution by collaborating with catering, banquets, culinary and operations teams
  • Build long-term relationships through personalized consultative sales approach
  • Follow up with clients post-event to ensure satisfaction and encourage repeat business
  • Handle guest concerns professionally and efficiently
  • Track and report event production and revenue to support forecasts and budgets
  • Manage deposit schedules, credit applications, and final billing
  • Maintain detailed records of events to support business development
