Job Requirements
- Bachelor's degree preferred
- 2-4 years of public facility management experience required
- Theater experience preferred
- Familiarity with facility management principles
- Ability to use AutoCAD software preferred
- Strong organizational and interpersonal skills required
- Excellent written and verbal communication skills required
- Ability to prioritize and multitask effectively
- Problem-solving and decision-making skills necessary
- Professional demeanor and appearance
- Capable of working independently and as part of a team
- Flexibility to work irregular hours including evenings and weekends
- Knowledge of Microsoft Office
- Physical ability to walk and stand up to 8 to 10 hours daily
- Must be able to work indoors and outdoors as required
- Valid legal authorization to work
Job Qualifications
- Bachelor's degree from a four-year college or university preferred
- 2-4 years related public facility management experience
- Theater experience a plus
- Working knowledge of principles of facility management, services and equipment
- Ability to operate AutoCAD design software preferred
- Excellent organizational, planning and interpersonal skills
- Strong written and verbal communication skills
- Ability to prioritize multiple projects
- Demonstrated problem-solving and communication skills
- Professional presentation, appearance and work ethic
- Ability to work under limited supervision
- Ability to interact with all levels of staff including management
- Ability to work long, irregular hours including day, evenings, weekends and holidays
- Knowledgeable in Microsoft Office applications
- Technical knowledge and skills related to theatres and arenas
- Experience in supervising staff and training event coordinators
Job Duties
- Supervises staff and oversees all aspects of facility operations related to events
- Assist in hiring, training and supervising event services staff
- Meets with client groups to plan and organize assigned meetings and/or events
- Coordinates activities with service contractors for assigned meetings and/or events
- Guides clients by interpreting and explaining contract provisions, policies and procedures
- Keeps clients informed about deadlines, floor plans, meeting room specifications, insurance requirements and other event details
- Prepares cost estimates and monitors final billing
- Provides timely communication of detailed requirements to operational departments and clients
- Maintains thorough and complete event records
- Monitors and supervises facility set-up when necessary
- Serves as primary liaison between clients and facility departments
- Monitors in-house events maintaining close contact with clients and facility staff
- Maintains proper image and generates positive public relations with patrons and staff
- Follows up on all client requests, concerns and problems
- Attends planning, organization and other event and facility meetings
- Works with relevant departments and vendors to provide prompt invoicing
- Develops policies and procedures for event services and monitors compliance
- Performs other duties as assigned
- Possess technical knowledge and skills pertaining to theatres and arenas
- Serves as resource for training event coordinators on administrative and event day procedures
- Directly supervises event and operations staff when required
- Carries out supervisory responsibilities in accordance with policies and laws
- Plans, assigns and directs work
- Addresses complaints and resolves problems
