Job Requirements
- Bachelor's degree or equivalent relevant experience
- At least 3 years experience managing execution of corporate meetings and events
- Strong organizational and communication skills
- Ability to manage multiple projects and deadlines
- Flexibility to work evenings, weekends and holidays
- Must be based in or near Orlando
- Ability to travel occasionally
- Knowledge of local venues and suppliers
- Experience managing and supervising teams
- Proficiency in contract negotiation and budget management
- Ability to multitask effectively
- Strong interpersonal skills
- Must be able to work collaboratively with diverse stakeholders
Job Qualifications
- Bachelor's degree or equivalent relevant experience
- Minimum of 3 years experience in overseeing corporate meetings, client events, or complex programs
- Experience in DMC, corporate incentive travel, hospitality or related fields preferred
- Ability to manage operations functions and supervise field staff effectively
- Excellent interpersonal and communication skills
- Ability to read, analyze and interpret client proposals, contracts, and financial reports
- Competent in responding to client and supplier inquiries
- Strong multitasking capabilities
- Ability to collaborate with all management levels, hoteliers, vendors and clients
- Knowledge of local venues, attractions, and suppliers
- Flexible availability including weekends, evenings and holidays
- Willingness to travel occasionally to support regional and company activities
Job Duties
- Responsible for logistical management and operational execution of client events and programs
- Serves as primary contact for client during pre-planning and operations post-sale
- Meets with sales team to review client program details and assumes primary client contact after contract
- Manages program changes during pre-planning and onsite including negotiating and upselling
- Manages expected gross margin for the event once contracted
- Orders, confirms and re-confirms all suppliers, develops partner relationships, negotiates contracts and terms
- Ensures deposits and billing are completed as contracted
- Determines field staff assignments and coordinates their work schedules
- Prepares and distributes trip sheets and relevant program information for field staff
- Participates in recruiting and training field staff
- Processes all field staff compensation paperwork
- Maintains inventory of uniforms and materials, coordinating additional purchases
- Completes all program production paperwork including trip sheets, check requests, service agreements, invoicing and job costing
- Assists experience designers with program development
- Manages cost preparation, program summaries, deposit invoices and related correspondence
- Coordinates forwarding program information to venues and hotels
- Conducts pre-con meetings with clients and hotels
- Keeps sales managers informed of opportunities and program changes, taking corrective action as needed
