Job Requirements
- High school diploma or equivalent required
- college coursework or degree in hospitality business event management or related field preferred
- minimum of 1 to 3 years of professional event planning or coordination experience preferably in a cultural institution venue or hospitality setting
- experience planning and managing events strongly preferred
- experience with event management software strongly preferred
- ability to work irregular hours including nights early mornings weekends and holidays
- ability to lift carry push pull or move objects up to 25 pounds and up to 50 pounds with assistance
- excellent written and verbal communication skills
- exceptional organizational skills
- strong interpersonal problem-solving and customer service abilities
- proficiency in Microsoft Office Suite and event management software
- ability to stand for long periods and perform physical activities related to event setup and management
Job Qualifications
- High school diploma or equivalent

- ability to establish priorities meet deadlines and handle numerous assignments simultaneously
- prioritizes and proactively fosters diversity and inclusion
- demonstrated ability to remain calm professional and solution-oriented under pressure
- proficiency in Microsoft Office Suite and event management software such as ReserveCloud and PartyCAD
Job Duties
- Manages all planning details for assigned internal and external events ensuring flawless execution and alignment with Museum standards
- Serves as the main point of contact for internal and external clients providing outstanding customer service and clear communication
- Assists Director of Events with signature events including creative concept generation and vendor sourcing
- Creates detailed event orders floor plans and timelines using event management software
- Coordinates with internal departments and approved vendors to ensure alignment on logistics and seamless events
- Responsible for on-site management and staffing of all assigned events leading pre-shift briefings event setup and teardown
- Manages post-event follow-up billing and financial reconciliation in coordination with Finance Department
