Job Requirements
- High school diploma or equivalent
- 1-3 years of professional event planning or coordination experience
- experience planning and managing events
- experience with event management software
- flexibility to work evenings weekends and holidays
- ability to stand for long periods and lift up to 25 pounds regularly and up to 50 pounds with assistance
- excellent communication and organizational skills
- ability to handle multiple tasks simultaneously and work under pressure
- proficiency with Microsoft Office and specialized event software

- physical ability to perform duties including walking climbing stooping and reaching
Job Qualifications
- High school diploma or equivalent
- college coursework or degree in hospitality business event management or related field preferred
- minimum of 1-3 years professional event planning or coordination experience preferably in cultural institution venue or hospitality setting
- experience planning and managing events strongly preferred
- experience with event management software strongly preferred
- sales experience in hospitality is a plus
- excellent written and verbal communication skills
- exceptional organizational skills and attention to detail
- strong interpersonal and problem-solving abilities with customer service mindset
- ability to establish priorities meet deadlines and handle multiple assignments in fast-paced environment
- proactive fostering of diversity and inclusion
- demonstrated ability to remain calm professional and solution-oriented under pressure
- proficiency in Microsoft Office Suite and event management software such as ReserveCloud and PartyCAD
Job Duties
- Manage all planning details for assigned internal and external events, serve as main point of contact for clients, assist Director of Events with signature events including concept generation and vendor sourcing, create detailed event orders floor plans and timelines, update event orders and calendars to ensure departmental alignment, coordinate with internal teams and vendors to ensure seamless event execution, provide on-site management and lead event staffing, lead pre-shift briefings and on-site event setup and teardown, oversee setup technicians and direct event arrangements, manage post-event follow-up billing and reconciliation, support event sales including venue tours inquiry management and contract preparation, book reservation requests into Reserve Cloud and reconcile calendars, maintain accurate event documentation and calendars, assist in departmental data collection, maintain event collateral and coordinate marketing edits, submit event invoices for payment, ensure office supply stock and compliance with museum policies, represent the museum professionally, execute event setup responsibilities, work irregular hours including nights early mornings weekends and holidays with schedule determined by event calendar
