Job Requirements
- Bachelor's Degree
- Minimum 3 years full-time event management experience with corporate event planning and C-suite exposure
- Reside in NYC tri-state area
- Experience with in-person and hybrid events
- Willingness to travel approx 20% yearly for site visits and on-site event management
- Ability to lift up to 30 lbs
- Flexible schedule including evenings, weekends, and extended hours
- Hybrid role requiring at least 4 days per week in New York City office
Job Qualifications
- Bachelor's Degree
- Minimum of 3 years of full-time event management experience, especially in corporate event planning and C-suite experience
- Strong knowledge of Microsoft Office including Word, Excel, and PowerPoint
- Experience in contract negotiation
- Experience managing budgets and financial oversight
- Ability to work with meeting management software such as Cvent is a plus
- Strong presentation, negotiation, and interpersonal skills
- Creativity in event planning
Job Duties
- Lead the planning of assigned meetings and events by establishing vision and overseeing ideation, planning, and execution processes in collaboration with internal stakeholders
- Identify, research, and secure meeting venues through site inspections and contract negotiations
- Develop and manage event budgets, track expenses, review and process vendor invoices and wire transfers, and conduct post-event budget reconciliation
- Take ownership of comprehensive event services including venue management, contracting, timelines, attendee communications, registration, hotel arrangements, transportation, food and beverage, décor, speaker and sponsor coordination, AV/production, branding, mobile apps, off-site activities, shipping, and on-site supervision
- Establish and cultivate strong relationships with hotels, restaurants, and third-party providers, while staying informed about new openings and changes in ratings or head chefs
- Gather feedback from attendees, analyze event metrics, and prepare post-event reports to improve future events and measure effectiveness of strategies
- Support department head in developing ways to optimize and streamline event planning, standardize budget tracking, control expenses, leverage event technology, analyze event success, and improve attendee experience
