Job Requirements

  • Bachelor's degree or equivalent
  • two years of directly related work experience for supervisor level
  • four years of directly related work experience plus two years for senior supervisor level
  • willingness to work variable hours including some evenings and weekends
  • strong interpersonal skills
  • ability to lead and manage event staff
  • proficiency with Microsoft Office
  • ability to coordinate logistics among vendors and departments
  • commitment to diversity and inclusion
  • eligibility to undergo a criminal background check and drug screening

Job Qualifications

  • Bachelor's degree or equivalent

  • strong organizational and leadership skills
  • demonstrated computer skills including proficiency in Microsoft Office
  • excellent communication and customer service abilities
  • experience in event planning and coordination
  • ability to manage multiple priorities and work in a dynamic environment

Job Duties

  • Respond to reservation inquiries via phone, email, and in-person and facilitate appropriate booking arrangements
  • act as a senior contact for clients and coordinate various series and subsequent changes
  • support recruitment, onboarding, and training of event staff
  • provide ongoing guidance and task delegation
  • assign duties relating to event activities
  • prepare checklists for cleaning and setup of all event areas
  • inspect all areas to ensure cleaning and setup completion prior to events
  • coordinate logistics across departments and vendors including catering, security, parking, and guest services
  • prepare and manage billing for scheduled events including charges for property damages
  • receive and process payment for events
  • collaborate with the events manager to develop departmental procedures, policies, and rental contracts
  • establish and maintain rental fees and discounts
  • monitor each vendor for consistency and compliance to agreements
  • partner with the communications department to identify and select advertising opportunities
  • contribute to the design and content of marketing materials including brochures, pricing lists, posters, and banners
  • assist in planning and hosting botanic exhibits and special programming
  • conduct regular inspections of event venues and report maintenance needs to ensure optimal facility conditions
