Job Requirements

  • Be legally authorized to work in the U.S.
  • Have reliable transportation
  • Be flexible with evenings and weekends during event season
  • Have a valid passport or be willing to obtain one
  • Be comfortable with modern technology such as Cvent, Hubspot, Monday.com, and Google Sheets
  • Based in or willing to relocate to the St. Louis area
  • Passionate about experiences that matter
  • See event planning as a craft, not just a job
  • Comfortable with accountability and high standards

Job Qualifications

  • 3–5+ years planning corporate events, conferences, and/or large-scale nonprofit galas
  • Proven success managing $100K+ event budgets with strong financial discipline
  • Experience negotiating hotel contracts with understanding of attrition
  • Hands-on experience with registration platforms such as Cvent, Stova, and Whova
  • Comfort working with AV vendors, production teams, and technical requirements
  • Strong problem-solving skills with crisis management
  • Excellent communication and interpersonal skills
  • Ability to work collaboratively in a team environment

Job Duties

  • Own the full planning lifecycle for conferences, corporate events, and nonprofit galas
  • Negotiate hotel contracts that protect margins and satisfy finance teams
  • Design sponsorship packages that foster true partnerships
  • Build intuitive registration pages using platforms like Cvent, Stova, and Whova
  • Manage AV procurement and vendor partnerships
  • Create signage plans, event assets, and attendee journey maps
  • Manage complex logistics including multi-track conferences, layered run-of-shows, and speaker coordination
  • Travel to events to ensure seamless on-site execution
  • Coordinate clients, production teams, vendors, and VIP speakers
  • Help refine and scale planning processes for new markets
  • Collaborate with event coordinator, VP of operations, creative, production, and business development teams
