Job Requirements

  • Bachelor's degree in hospitality, meeting/event planning or related field
  • five years direct experience in event and conference planning
  • valid driver's license
  • ability to travel locally and out of state
  • successfully pass a background investigation
  • no felony, theft or fraud convictions
  • complete the Associate in Insurance (AINS) designation within six months after the 90-day evaluation period
  • complete an elective course and six hours of professional development within 12 months after the evaluation period

Job Qualifications

  • Bachelor's degree in hospitality, meeting/event planning or related field
  • five years direct experience in event and conference planning
  • valid driver's license
  • ability to communicate effectively in English both verbally and in writing
  • knowledge of event planning principles and requirements
  • experience with contract negotiation and budget management
  • proficiency in MS Office, Excel, SharePoint, Outlook, and presentation software
  • ability to operate event management software and applications
  • skill in graphic and web design
  • strong interpersonal and communication skills
  • ability to work independently and meet deadlines
  • knowledge of public relations, promotions, and marketing principles

Job Duties

  • Plan and coordinate all aspects of events including venue selection, catering, entertainment, signage, transportation, promotional materials and guest accommodations
  • Consults with venue representatives to assess event requirements
  • Plan and set goals and objectives for meetings, conferences, and events considering budgets, speakers, facilities, technology, equipment, and logistics
  • Conduct site visits to assess potential venues and prepare comparison reports
  • Develop and maintain up-to-date lists of available venues, services, and pricing
  • Compile and present a shortlist of prospective event locations and provide expert recommendations
  • Manage event budgets, gather pricing information, negotiate contracts, and track expenditures
  • Collaborate with internal staff to brainstorm, plan, and develop event schedules and secure speakers
  • Ensure compliance with legal, safety, and health regulations and secure required permits
  • Coordinate transportation logistics for guests and key participants
  • Handle last minute changes and troubleshoot issues during events to ensure guest satisfaction
  • Oversee event registration in coordination with registration contractors
  • Manage administrative aspects including financial operations, promotional materials, and timely communications
  • Oversee event setup, execution, and teardown to ensure alignment with expectations
  • Develop and execute communication strategies to maximize participation and manage promotional efforts across channels
  • Collaborate with marketing firms to produce event collateral
  • Serve as main point of contact between contractors, event organizers, and management
  • Negotiate and manage contracts with vendors ensuring compliance with budget and policies
  • Plan and coordinate administrative tasks and special projects within and across departments
  • Review event billing for accuracy and process invoices timely
  • Develop management studies, surveys, and reports to support decision making
  • Participate in budget planning and oversee purchasing of event supplies
  • Stay current with industry trends and technologies
  • Participate in cross-functional process improvement projects
  • Perform other duties as assigned
