Job Requirements

  • bachelor's degree in marketing, business or communications
  • 3+ years in meeting planning preferred
  • experience in the financial industry preferred
  • proficiency in Word, Excel, Access and Outlook
  • experience with mail merges and database management
  • excellent grammar and editing skills
  • strong attention to detail
  • ability to manage multiple assignments and deadlines
  • strong organizational skills
  • excellent communication and interpersonal skills
  • willingness to travel approximately 20%
  • ability to work independently and as part of a team

Job Qualifications

  • bachelor's degree in marketing, business or communications
  • 3+ years in meeting planning preferred
  • financial industry experience preferred
  • exceptional computer skills including proficiency in Word, Excel, Access and Outlook
  • experience with mail merges, graphics creation and database usage
  • ability to learn specialized industry software
  • excellent grammar, editing and proofing skills

  • ability to handle peak workloads and multiple assignments with accuracy and calmness

Job Duties

  • assist with the coordination of 1-1 meetings for conferences, including scheduling and inputting over 8,000 meetings annually
  • assist with the coordination of larger events, including meeting logistics, blocking meeting space, room set-up, menus, audio visual, participant travel and reviewing banquet event orders
  • prepare and distribute multiple registration reports such as attendance, rooming lists, travel and activity manifests
  • create and maintain the conference website
  • work with Director of Corporate Events and Senior Event Planners on meeting and travel logistics for multiple business units
  • prepare communication materials including invitations, brochures and signage
  • independently coordinate smaller events from conception to completion including venue recommendation, registration system and on-site details
  • create cost proposals, budgets, and recaps for events
  • research, analyze and suggest event venues nationwide
  • proof conference and marketing materials including announcements and program content
  • coordinate air and ground transportation with travel department
  • develop and maintain positive relationships with vendors and internal clients
  • perform additional projects as assigned by Director of Corporate Events
