Job Requirements
- bachelor's degree in marketing business or communications
- minimum 3 years of experience in meeting planning
- experience in financial industry preferred
- proficiency with Microsoft Word Excel Access and Outlook
- capability to perform mail merges create graphics and utilize databases
- excellent grammar editing and proofing skills
- attention to detail and accuracy
- ability to handle peak workloads and multiple assignments under pressure
- strong customer service orientation
- excellent organizational and prioritization skills
- ability to work independently with minimal supervision
- willingness to travel up to 20% of the time
Job Qualifications

Job Duties
- assist with coordination of 1-1 meetings for conferences including scheduling and inputting over 8,000 meetings annually
- assist with coordination of larger events including meeting logistics blocking meeting space room set-up menus audio visual participant travel and reviewing banquet event orders
- prepare and distribute multiple registration reports for events including attendance rooming lists travel manifests and activity manifests
- create and maintain the conference website
- work with Director of Corporate Events and Senior Event Planners on meeting and travel logistics for multiple types of events
- work with marketing and internal clients to prepare communication materials including invitations brochures signage
- independently coordinate smaller events from conception to completion including venue recommendation correspondence registration system follow up materials and on-site details
- create cost proposals budgets and recaps for conferences and special events
- research analyze and prepare suggested venues for various events around the country
- proof conference and special event marketing materials including announcements invitations signs and programs
- work with travel department to determine air and ground transportation needs
- develop and maintain positive relationships with vendors and internal clients through written and verbal communications
- perform additional projects as assigned by Director of Corporate Events
