Job Requirements

  • Bachelor's degree or equivalent experience
  • experience with travel arrangements
  • familiarity with federal travel regulations (FTR)
  • strong customer service orientation which may require communication outside of normal business hours
  • excellent organization skills
  • ability to work independently
  • ability to travel domestically and internationally
  • competency in Microsoft Office business suite software including Word, Excel, and Outlook
  • ability to learn new business applications and use database management systems
  • international competency and internet research skills
  • candidate must require no sponsorship now or in the future

Job Duties

  • Provide excellent customer service on demand
  • immediate and continual communication with the customer throughout all phases of event support
  • source and coordinate travel and event planning services internationally including booking air travel, lodging reservations, ground transportation, event venues, audio visual equipment, language interpretation, translation services, catering, virtual and on-site support, per diem distribution, subject matter printing and assembly, and special or VIP services
  • develop relationships with vendors in various countries including vetting, enrolling, and payment
  • work independently with guidance as needed
  • provide timely estimates and engage vendors while establishing budgets and timelines
  • manage event implementation and change control
  • pay vendors and submit detailed trip summary reports for billing
  • ensure cost effective, timely, and quality solutions by providing layouts and itineraries for all services
  • learn contract pricing and terms as well as government and country-specific travel and safety regulations
  • perform special projects including pricing exercises, vendor base expansion, and support for bids and proposals
