Job Requirements
- College degree or equivalent experience in related business
- Meeting planning experience is required
- Demonstrated proficiency in Microsoft Office and database management
- Ability to pass criminal background and motor vehicle record check
- Must be available for occasional overnight travel including by car and air
- Professional demeanor reflective of organizational values
- Exceptional communication and interpersonal skills
- Ability to multitask and manage event details efficiently
Job Qualifications
- Demonstrated computer proficiency including Microsoft Office, Adobe, database management
- Certified Meeting Professional (CMP) designation desirable
- Meeting planning experience required
- College degree or equivalent experience in related business
- Insurance company or agent experience desirable
- Professional demeanor consistent with organizational values and mission
- Availability for occasional overnight travel by car and air
- Ability to pass a criminal background and motor vehicle record check
Job Duties
- Manage all meeting planning details including speaker research, logistical and presentation material coordination, preparation of meeting specifications and hotel room lists, event budgeting, reconciliation of hotel and meeting expenses, hotel selection and contract negotiations
- Draft and proofread promotional copies for websites, campaigns, newsletters
- Participate in and coordinate arrangements for committee meetings supporting meeting planning development
- Work directly with member company committee representatives or programming leaders to determine presentation topics, potential speakers and secure details for events
- Interact with clients, client staff, vendors, and NAMIC association staff as directed
- Serve as liaison to hotels and meeting facilities for respective events
- Develop, execute, and evaluate marketing efforts for assigned conference events including writing marketing copy, preparing mailing list requests, digital promotion and coordinating event brochure mailings
- Assist with budgeting process including maintaining worksheets and records with quarterly reports to Conference Boards
- Prepare quarterly conference board reports for respective events and projects
- Assist the Association Marketing Manager & Creative Lead as needed
- Provide customer service support using positive telephone skills, responding promptly to emails and phone calls
- Support all aspects of event operations including following office procedures, organizing filing systems, maintaining department work areas
- Arrive to work on time and maintain a positive attendance record
- Build and maintain positive work relationships with management, staff members and external contacts
- Perform any other duties and projects as assigned
