Job Requirements
- Bachelor’s degree in hospitality, meeting or event planning or related field
- Five years direct experience in event and conference planning
- Valid driver’s license
- Ability to travel locally and out of state
- Successful completion of background investigation with no felony, theft or fraud convictions
- Completion of Associate in Insurance (AINS) designation within six months after evaluation period
- Completion of elective course and six hours of professional development annually
- Ability to operate computers and event management software
- Ability to work independently and handle multiple projects
- Ability to communicate effectively verbally and in writing
- Ability to negotiate contracts
- Ability to meet strict timelines
Job Qualifications
- Bachelor’s degree in hospitality, meeting or event planning or related field
- Five years direct experience in event and conference planning
- Valid driver’s license
- Ability to communicate effectively verbally and in writing
- Knowledge of event planning principles and resources
- Skill in organizing resources and prioritizing
- Experience with business computers and office software including MS Office, Excel, SharePoint, Outlook, and PowerPoint
- Ability to operate event management software and applications
- Skill in graphic and web design
- Strong interpersonal and communication skills
- Ability to negotiate and manage contracts
- Ability to work independently and meet deadlines
- Knowledge of public relations, promotions, and marketing in a customer-oriented environment
- Ability to gather and analyze data and generate reports
Job Duties
- Plan and coordinate all aspects of events including venue selection, catering, entertainment, signage, transportation, promotional materials and guest accommodations
- Consult with venue representatives to assess event requirements and set goals and objectives for meetings, conferences, and events
- Conduct site visits to assess potential venues and prepare comparison reports
- Develop and maintain lists of available venues, services, and pricing options
- Compile and present short lists of prospective event locations and provide expert recommendations
- Manage event budgets, negotiate contracts, track expenditures, and secure dates and spaces
- Collaborate with internal staff to plan event schedules, topics, and speakers
- Ensure compliance with legal, safety, and health regulations and secure necessary permits
- Coordinate transportation logistics
- Handle last-minute changes and troubleshoot event issues
- Oversee event registration processes
- Manage administrative aspects including financial operations and promotional material distribution
- Supervise event setup, execution, and teardown
- Develop and execute communication strategies to maximize participation
- Collaborate with external marketing firms for event collateral
- Serve as main contact among contractors, organizers, and management
- Negotiate and manage contracts with vendors and service providers
- Coordinate administrative tasks and special projects
- Review event billing and process invoices
- Prepare management studies, surveys, and reports for operational decision making
- Participate in budget planning and purchasing of event supplies
- Stay current with industry trends and technologies
- Participate in process improvement projects
- Perform other duties as assigned
