AMERIND is a federally chartered tribally owned corporation established under Section 17 of the Indian Reorganization Act. It is formed by its Members, the governmental units of federally recognized Tribal Nations that administer federally funded housing programs specifically aimed at assisting American Indian and Alaska Native families. Job Requirements
- Bachelor's degree in hospitality, meeting/event planning or related field
- Five years direct experience in event and conference planning
- Valid driver's license
- Local and out-of-state travel required
- Must pass background investigation with no felony, theft or fraud convictions
- Ability to communicate effectively in English
- Ability to work independently
- Ability to meet strict timelines
- Ability to negotiate and manage contracts
- Must complete Associate in Insurance designation within six months post evaluation
- Must complete elective course and professional development within 12 months post evaluation
- Ability to operate business computers and office machines
- Physical ability to sit for over 4 hours per day
- Physical ability to stand and walk up to 8 hours during events
- Ability to lift 25+ pounds occasionally
- Must pass annual physical exam
- Experience with event management software
- Skills in graphic and web design

- Proficiency in MS Office, Excel, SharePoint, Outlook, PowerPoint
- Experience with event management software and related tools

Job Duties
- Plan and coordinate all aspects of events including venue selection, catering, entertainment, signage, transportation, promotional materials and guest accommodations
- Consults with venue representatives to assess event requirements
- Plans and sets goals and objectives for meetings, conferences, and events, taking into account budgets, speakers, facilities, technology, equipment, logistical requirements, and other specialized needs
- Conducts site visits to assess potential venues
- Prepares clear, organized comparison reports summarizing location features, benefits, limitations, and pricing to support venue selection
- Develops and maintains up-to-date lists of available venues, services, and pricing options
- Compiles and presents a short list of prospective event locations with expert recommendations
- Gathers pricing information, manages event budgets, negotiates contracts, tracks expenditures including dates, times, spaces, and logistics in alignment with needs and budget
- Collaborates with internal staff to brainstorm, plan, and develop event schedules, topics, and secure speakers
- Ensures events comply with legal, safety, and health regulations and secures required permits
- Coordinates transportation logistics for guests, attendees, speakers, or key participants
- Handle last minute changes, troubleshoot issues, and ensure guest satisfaction
- Oversee event registration coordinating with contractors
- Manages administrative aspects including financial operations, promotional material distribution, and queries
- Oversee event setup, execution, and teardown
- Develop and execute communication strategies to maximize participation using multiple channels
- Collaborates with external marketing firms to produce event collateral
- Produces engaging communication materials including reminders and updates
- Serves as main point of contact among contractors, organizers, and management
- Negotiates, executes, and manages contracts with vendors ensuring budget and policy compliance
- Plans and coordinates administrative tasks and special projects
- Reviews event billing and processes invoices
- Develops management studies, surveys, statistical analyses, and supports operational decisions
- Monitors accounting activities and prepares internal financial reports
- Participates in budget planning and purchasing
- Stays current with industry trends and emerging technologies
- Participates in cross-functional team improvements
- Performs other duties as assigned
