Job Requirements

  • high school diploma or equivalent
  • availability to work variable hours and weeks from february to september 2026
  • ability to work on a seasonal part-time, non-exempt basis
  • authorized to work lawfully in the united states

Job Duties

  • Kick off administrative duties including organizing event information in shared calendars and planning documents
  • Create initial event deck and planning checklist to gather event details
  • Serve as primary point of contact and relationship manager with clients including scheduling all client calls
  • Manage and design run of show, event layout, and overall event experience
  • Track budget for events in collaboration with Director of Accounts and Operations
  • Liaise with clients and finance/legal teams regarding legal documentation such as COIs, waivers, and invoicing
  • Translate client visions to venue facilities managers to ensure all needs are met
  • Manage venue layouts and specifications to accurately depict event vision
  • Coordinate with vendors for all event needs including communications and client inclusion
  • Submit payments and vendor details to finance
  • Provide vendor briefings on event days
  • Order custom branded swag such as medals and t-shirts
  • Ensure event setup meets client expectations and event deck specifications
  • Serve as main contact for clients on event day including coordinating meeting logistics
  • Provide backup support to Junior Account Coordinators for staffing and inventory
  • Liaise with onsite events team concerning updates and client requests
  • Lead sales administration tasks in startup markets including vendor relationship management, event quote accuracy, contract building, client walkthroughs, and sales team collaboration
