Job Requirements

  • Authorized to work lawfully in the United States
  • high school diploma or equivalent required, bachelor's degree preferred
  • prior experience in event planning or client management
  • ability to work variable hours week to week
  • strong attention to detail and organizational skills
  • excellent problem-solving abilities
  • ability to manage multiple projects simultaneously
  • effective communication skills for client and vendor interactions
  • knowledge of local event markets and vendor relationships preferred

Job Qualifications

  • Bachelor's degree or equivalent experience in event planning or related field
  • proven experience managing corporate or large-scale events
  • strong organizational and multitasking skills
  • excellent communication and interpersonal skills
  • knowledge of local event vendors and venues preferred
  • ability to work independently and as part of a team
  • proficiency in event management software and tools
  • experience working in startup or fast-paced environments a plus

Job Duties

  • Kick off administrative duties such as saving event information
  • create initial event deck and planning checklist
  • serve as primary client point of contact and manage client communications
  • design run of show, layout, and overall event experience
  • track event budgets in partnership with Director of Accounts and Operations
  • liaise with clients on legal documentation and invoicing
  • understand and communicate venue capabilities
  • translate client vision to facilities managers
  • manage venue layouts and event specifications
  • coordinate with vendors on event needs
  • submit payments and vendor details to finance
  • re-brief vendors on event day
  • order custom branded swag
  • ensure event setup meets client expectations
  • act as main point of contact on event day including coordinating client meeting times
  • provide backup support to Junior Account Coordinator
  • liaise with onsite events team and vendors for run of show updates and client requests
  • in startup markets, work with vendors, venue, and sales teams to ensure accurate event quotes and contracts
  • lead client walkthroughs and support sales calls
