Job Requirements
- Associate degree and three years of relevant experience or combination of education and relevant experience
- demonstrated success planning events
- ability to work both independently and as part of a team
- ability to establish and manage shifting priorities and meet multiple deadlines
- demonstrated creativity, problem solving, initiative, judgment, and decision-making skills
- ability to work diplomatically and tactfully
- excellent interpersonal, communication, time management, and customer service skills
- well-organized and detail-oriented
- ability to interact and collaborate with a broad spectrum of groups including students, staff, faculty, and familiarity with university policies
- proficient computer skills and experience with Microsoft Office and Google Workspace
- knowledge of Mazevo or other space management platforms
- willingness to learn department reservation systems
- comfort with technology and data management
- ability to work occasional evenings and weekends
- must possess and maintain a valid California non-commercial Class C Driver’s License
- ability to drive day or night
- willingness to comply with California Vehicle Code and Stanford driving requirements
- this is a fully onsite role with potential for remote work one day per week
- experience in venue management preferred

- experience with vendor negotiation and contract management
- ability to manage multiple projects under tight deadlines
- experience in venue management preferred
Job Duties
- Design, plan, implement, and coordinate customized events
- serve as a member of the Event Operations team and contribute to scheduling, event logistics, and facilities decisions
- consult with stakeholders to determine event objectives and requirements
- inspect event facilities to ensure they meet event needs
- procure and coordinate vendor services and negotiate contracts
- communicate with vendors, alumni, and program participants
- research and recommend event locations and evaluate alternatives
- resolve calendar conflicts and generate analytical reports
- utilize and maintain venue reservation systems like Mazevo
- monitor and respond to inquiries via email, phone, or reservation system
- serve as project leader on smaller events or team member on larger programs
- provide administrative support in finance, communications, and webpages
