Job Requirements
- Bachelor's degree in hospitality, meeting or event planning or related field
- Five years direct experience in event and conference planning
- Valid driver's license
- Ability to travel locally and out-of-state
- Must pass background check with no felony, theft, or fraud convictions
- Completion of Associate in Insurance (AINS) designation within six months of evaluation period
- Completion of elective course and six hours of professional development annually post-evaluation period

Job Duties
- Plan and coordinate all aspects of events including venue selection, catering, entertainment, signage, transportation, promotional materials and guest accommodations
- Consult with venue representatives to assess event requirements, set goals and objectives for meetings and conferences, considering budgets, speakers, facilities, technology, and logistics
- Conduct site visits to assess potential venues and prepare comparison reports summarizing features, benefits, limitations, and pricing to support venue selection
- Develop and maintain updated lists of venues, services, and pricing options to facilitate event planning
- Compile and present shortlists of prospective event locations and provide expert recommendations for final venue selection
- Manage event budgets, negotiate contracts, track expenditures for venues and service providers including securing dates, spaces, and other logistics
- Collaborate with internal staff to plan event schedules, topics, and secure featured speakers ensuring cohesive event execution
- Ensure compliance with legal, safety, and health regulations and secure required permits
- Coordinate transportation logistics for guests and key participants
- Handle last minute changes and troubleshoot issues during events to ensure guest satisfaction
- Oversee event registration in coordination with registration contractors for efficient processing
- Manage all administrative aspects of event execution including financial operations, promotional material distribution, and response to inquiries
- Oversee event setup, execution, and teardown ensuring alignment with expectations
- Develop and execute communication strategies to maximize event participation through email campaigns and social media
- Collaborate with external marketing firms to produce event collateral like save-the-date postcards and flyers
- Produce clear and engaging communication materials for all events including reminders and updates
- Serve as main contact between contractors, event organizers, and management overseeing logistics and support for multiple events
- Negotiate, execute, and manage contracts with vendors ensuring compliance with budgets and policies
- Plan and coordinate administrative tasks and special projects gathering, organizing, and analyzing information for recommendations
- Review event billing for accuracy and process invoices timely
- Develop management studies, surveys, and reports to support operational decisions
- Monitor and coordinate accounting activities related to events and prepare internal financial reports
- Participate in budget planning and purchasing of event supplies and equipment
- Stay up-to-date with industry trends, new venues, and technologies
- Participate in cross-functional team process improvement projects
- Perform other duties as assigned
