Job Requirements

  • Bachelor's degree in hospitality, meeting/event planning or related field
  • Five years direct experience in event and conference planning
  • Valid driver's license
  • Local and out-of-state travel is required
  • Must pass a background investigation
  • No felony, theft or fraud convictions
  • Ability to complete Associate in Insurance (AINS) designation within six months post 90-day evaluation
  • Completion of elective course and six hours of professional development within 12 months post 90-day evaluation
  • Ability to sit for long hours at a computer and stand for up to 8 hours during events
  • Ability to lift 25+ lbs occasionally
  • Ability to communicate effectively in English verbally and in writing
  • Must successfully pass annual physical exam

Job Qualifications

  • Bachelor's degree in hospitality, meeting/event planning or related field
  • Five years direct experience in event and conference planning
  • Valid driver's license
  • Strong verbal and written communication skills
  • Knowledge of public relations, promotions, and marketing principles
  • Proficient in computer applications for marketing and business operations
  • Understanding of meeting and event planning principles and available resources
  • Familiarity with conference facilities, technology, and equipment
  • Ability to analyze data and generate reports
  • Strong organizational and project management skills
  • Proficient in MS Office, Excel, SharePoint, Outlook, and presentation software
  • Experience with event management software and graphic/web design skills
  • Ability to negotiate contracts and manage vendor relationships
  • Excellent interpersonal skills and ability to work with diverse communities

Job Duties

  • Plan and coordinate all aspects of events including venue selection, catering, entertainment, signage, transportation, promotional materials and guest accommodations
  • Consult with venue representatives to assess event requirements and set goals and objectives
  • Conduct site visits to potential venues and prepare comparison reports
  • Develop and maintain lists of venues, services, and pricing options
  • Compile and present prospective event locations and provide recommendations
  • Manage event budgets, negotiate contracts, and track expenditures
  • Collaborate with internal staff to develop event schedules and secure speakers
  • Ensure compliance with legal, safety, and health regulations and secure permits
  • Handle last-minute changes and troubleshoot issues during events
  • Oversee event registration coordination with contractors
  • Manage administrative aspects including financial operations and promotional distribution
  • Oversee event setup, execution, and teardown
  • Develop and execute communication strategies for maximizing participation
  • Collaborate with marketing firms for event collateral design
  • Produce clear communication materials and regular updates for events
  • Serve as main contact for contractors and management
  • Negotiate and manage contracts with vendors
  • Plan and coordinate administrative tasks and special projects
  • Review event billing for accuracy and process invoices
  • Prepare management studies and reports to support decisions
  • Monitor accounting related activities and participate in budget planning
  • Stay current with industry trends and technologies
  • Participate in process improvement projects
  • Perform other duties as assigned
