Job Requirements
- High school diploma or equivalent
- minimum two years of relevant industry experience
- proficiency in Microsoft Outlook, Word, Excel, and PowerPoint
- experience with event management and booking software
- strong organizational skills
- excellent communication abilities
- ability to multitask and manage changing priorities
- readiness to work some nights, weekends, and holidays
- ability to work onsite and remotely
- commitment to diversity, equity, inclusion, and accessibility principles
Job Qualifications
- Minimum of two years experience in events, arts, entertainment, or hospitality industry
- experience managing booking and calendaring systems
- proficiency in Microsoft Outlook, Word, Excel, and PowerPoint
- working knowledge of CRM and event management software such as Momentus
- experience with SharePoint and maintaining financial and budget records
- familiarity with event layouts and floor plans software like Visio
- experience using virtual meeting and collaboration platforms such as Teams and Zoom
- excellent communication skills
- ability to provide effective customer service
- innovative self-starter with initiative and flexibility
- ability to work collaboratively with diverse teams
- strong organizational and multitasking skills
- availability to work flexible schedule including nights, weekends, and holidays
Job Duties
- Maintain an accurate calendar of internal and external events
- field internal booking inquiries
- manage holds, challenges, and confirmations in Momentus
- maintain event assignment process for Event Managers
- support Event Managers in planning and executing events
- vendor sourcing and rental fulfillment
- independently coordinate events of small to medium complexity
- manage daily communications with internal museum departments
- maintain department administrative organization including record-keeping, filing, and office supply management
- reconcile monthly department spending
- utilize Reqlogic for billing and cost approval processing
- own department calendar meetings and produce meeting agendas and minutes
- establish high quality service and execution standards
- coordinate with peers, clients, and other departments to resolve operational issues
- provide project management support for key initiatives
- support internal culture and commitment to customer service standards
- participate in anti-racism work and uphold DEIA strategies
