Job Qualifications
- 8+ years experience managing large third-party trade shows and conferences in professional services, consulting, insurance, healthcare, or financial services
- hands-on booth-build experience from concept through installation and dismantle
- proven ability to contribute to event strategy development and plan complex event portfolios
- experience with industry conferences like ITC, HLTH, ICA, SOA, or similar
- proficient in managing onsite executive meetings and client experiences
- comprehensive knowledge of event planning including contracting, negotiating, analytics, event technology platforms, and digital marketing
- proficiency with Wrike, Microsoft Dynamics, Cvent, Adobe Creative Cloud, and virtual event platforms
- strong communication skills with executive presence and ability to lead senior leader discussions
- ability to build consensus and drive alignment in a fast-paced environment
- proven mentoring experience
- strong food and beverage knowledge and catering logistics expertise
- excellent negotiation, dispute resolution, and contingency planning skills
- ability to travel domestically and internationally including evenings and weekends around event cycles
Job Duties
- Own a portfolio of third-party events including end-to-end program management from initial brief to post-show analysis
- Develop comprehensive event plans, budgets, timelines, staffing models, and playbooks while tracking milestones and invoices
- Collaborate with creative teams and vendors to design and build impactful exhibits including booth design, graphics, shipping, and swag management
- Manage event collateral creation and coordination of invitations, badges, printed materials, and event kits
- Secure venues and manage onsite schedules for ancillary programs and ensure elevated attendee experiences
- Conduct post-event analysis including surveys, data analysis, budget review, and stakeholder reporting to optimize future events
- Lead cross-functional collaboration with marketing, business development, and practice leadership teams to align event messaging and delivery
- Ensure compliance with all firm policies and regulatory requirements
