Job Requirements

  • Legally authorized to work in the United States without need for immigration sponsorship
  • Ability to travel domestically and internationally 20-25 percent annually with peak periods in spring and fall
  • Minimum eight years experience managing large third-party trade shows and conferences
  • Hands-on experience in booth design, build, and event execution
  • Proficiency in relevant event management software and platforms
  • Strong communication and organizational skills
  • Ability to work independently with minimal supervision
  • Commitment to delivering exceptional service to stakeholders
  • Ability to handle multiple projects simultaneously and prioritize effectively
  • Availability to work evenings and weekends around show cycles

Job Qualifications

  • Eight plus years experience managing large third-party trade shows and conferences with measurable business impact
  • Experience in professional services, consulting, insurance, healthcare, or financial services preferred
  • Hands-on booth-build experience from concept through installation and dismantle
  • Proven ability to manage complex event portfolios and executive meetings
  • Expertise in event planning including contracting, negotiating, analytics, event technology, and digital marketing
  • Proficiency with Wrike, Microsoft Dynamics, Cvent, Adobe Creative Cloud, and virtual event platforms
  • Strong organizational and project management skills
  • Exceptional written and verbal communication abilities with executive presence
  • Ability to lead discussions with senior leaders and drive alignment
  • Experience mentoring team members and promoting best practices
  • Strong food and beverage knowledge and catering logistics experience
  • Excellent judgment and problem-solving skills including contract negotiation and dispute resolution
  • Ability to manage multiple workstreams and maintain high standards of service delivery
  • Willingness to travel domestically and internationally as required

Job Duties

  • Lead end-to-end programs for major industry conferences and trade shows
  • Collaborate to develop event strategy, clarify objectives, and optimize ROI
  • Develop comprehensive plans, budgets, timelines, staffing models, and playbooks
  • Track milestones, invoices, and purchase orders to ensure adherence to timeline and budget
  • Lead contract negotiation, attendee management, accommodations, staffing, and budget management
  • Partner with creative teams and vendors to design and build impactful booths
  • Oversee RFPs, vendor coordination, shipping, swag, and show services
  • Manage event collateral creation and deployment timelines
  • Coordinate ancillary programs including venue booking and on-site schedules
  • Attend events to manage expectations, staff, vendors, and address inquiries
  • Conduct post-event surveys, analyze data, and report to stakeholders
  • Collaborate cross-functionally with creative, CRM, content, and social media teams
  • Ensure compliance with all firm policies and regulatory protocols
  • Coach and mentor less experienced team members
  • Contribute to cross-functional initiatives and best practices development
