Job Requirements

  • Bachelor’s degree
  • 7+ years of event planning experience
  • Ability to manage multiple complex events
  • Strong organizational and time management skills
  • Excellent communication skills
  • Proficiency with Microsoft Office Suite
  • Ability to negotiate contracts and manage vendors
  • Willingness to work onsite within commuting distance of Westlake, TX or Orlando, FL
  • Ability to work collaboratively in a small team environment
  • Problem-solving and proactive attitude

Job Qualifications

  • 7+ years of event planning experience
  • Bachelor’s degree
  • Experience in project management preferred
  • Knowledge of event planning principles, requirements, and procedures
  • Knowledge of conference facilities, staging, technology, and equipment
  • Knowledge of finance, accounting, budgeting, and cost control procedures
  • Ability to negotiate and manage contractual arrangements
  • Detail-oriented with exceptional follow-through
  • Ability to manage time, prioritize, and multitask effectively
  • Strong communication skills with attention to detail

Job Duties

  • Participate in weekly team meetings with programs and marketing leads to prepare for in-person events
  • Oversee the run of show, pre-con meeting, staff coordination, and execution during all events
  • Help create, manage, and adhere to the annual event budget
  • Schedule and facilitate pre- and post-event meetings with the team to discuss event feedback and areas for improvement
  • Identify areas for improvement and implement corrective actions as needed
  • Develop and implement strategies to streamline event production
  • Create and maintain documentation and guidelines for FWA events
  • Stay proactive in identifying and addressing potential issues before they become problems
  • Conduct venue site visits and make recommendations as applicable
  • Prepare for and schedule general walk-through of space, planning meeting, pre-con with venue staff
  • Manage, review, and adhere to venue contract
  • Act as main contact to venue for all event related logistics and planning
  • Manage attrition and contractual requirements relating to venue including contractual concessions
  • Ensure best room capacities, sets, diagrams while adhering to guidelines
  • Confirm all facets of venue service including front desk, housekeeping, bell stand, and banquets through creation and review of Event Function specifications and Banquet Event Orders
  • Oversee room block management, overflow, and additional room allocation as needed
  • Work with attendee housing registration and answer attendee questions
  • Partner with programs team to determine A/V needs for all sessions and meetings and ensure venue is prepared
  • Negotiate best rates and service with A/V vendors through pricing comparison, orders, execution, and management
  • Coordinate video recordings and editing of sessions for post event viewing
  • Coordinate event photography when applicable
  • Research and book locations of Dine-Arounds for all events
  • Secure contracts with restaurants and keep sponsors informed
  • Communicate attendee lists to sponsors prior to event
  • Check for food allergies and alert host/restaurant
  • Arrange and manage transportation to/from restaurants when applicable
  • Manage and implement seating arrangements
  • Create menus with sponsor logos
  • Refine and share Dine-Around scripts with facilitators
  • Review menus and budget to create menu solutions
  • Manage all special needs, allergies, and dietary requirements
  • Ensure all food and beverage executed as planned on event day
  • Work with marketing to determine event signage, directional, clings, banners
  • Lead venue walk-through for signage needs
  • Manage signage process, orders, delivery, and setup
  • Evaluate vendors for quality, reliability, cost, and service
  • Build and maintain strong vendor relationships
  • Ensure vendor compliance with company policies and legal agreements
  • Work closely with cross-functional teams to ensure alignment and support
  • Foster a collaborative and supportive work environment
  • Perform other related duties and strategic projects as required
