Job Requirements
- Bachelor’s degree or equivalent experience
- Minimum 3-5 years of relevant event coordination experience
- Ability to communicate clearly and concisely in English
- Knowledge of regulatory and safety compliance requirements
- Proficiency in Microsoft Office and event management software
- Ability to work flexible hours including weekends, evenings, and holidays
- Valid Utah driver’s license or ability to obtain one
- Current CPR certification or ability to obtain
Job Qualifications
- Minimum 3-5 years experience in Event Coordination or Convention Services
- Bachelor’s degree in facility management, hospitality management, marketing, public relations, business management or related field preferred
- Additional experience may substitute formal education
- Graduate of IAAM Public Assembly Facility Management School preferred
- Certified Meeting Professional (CMP) designation preferred
- Knowledge of event management operations, customer service, crowd control, fire and safety regulations, food service and audiovisual systems
- Strong problem-solving and communication skills
- Ability to work flexible schedules
- Familiarity with Microsoft Office applications
Job Duties
- Meet, confer, consult and maintain continuous contact with potential and contracted clients
- Provide timely, accurate and detailed proposals, estimates, and layout drawings to clients
- Recommend products and services to meet and exceed client needs and expectations
- Communicate all regulatory restrictions and requirements ensuring compliance
- Ensure all contracts and documents are executed timely, including rental contracts, certificates of insurance, licenses and permits
- Ensure collection of all payable by due dates
- Collect, organize and record event specific and logistical data
- Document all communications with clients via EBMS folder and diary entries
- Create and distribute detailed event resumes and layout drawings to departments
- Oversee event setup ensuring accuracy and timeliness
- Anticipate and resolve event related concerns to ensure satisfaction
- Inspect event spaces prior to, during and after events
- Consult with exhibit managers, promoters and others regarding setup needs and prepare work orders and cost estimates
- Function as Manager on Duty to ensure events proceed as planned and respond to complaints
- Conduct or participate in post-event meetings to analyze outcomes
- Prepare and approve final invoicing
- Maintain post-event contact with clients
- Complete post-event summaries for future reference
- Perform other duties as required
