Job Requirements

  • Bachelor's degree preferred
  • Minimum of 3-5 years experience in event or convention services, hospitality, or related industry
  • Experience with convention centers, hotels with meeting or ballroom space, or multi-use venues
  • Strong interpersonal, organizational, and communication skills
  • Ability to multitask in a fast-paced environment
  • Customer service expertise with conflict resolution abilities
  • Financial proficiency and budget tracking skills
  • Familiarity with event services, banquet standards, and venue management
  • Team coordination and collaboration skills

  • Experience with Momentus (Ungerboeck), AutoCAD, and database tools

Job Qualifications

  • Bachelor's degree in Event Management, Hospitality, Business Administration, or related field preferred
  • Minimum of 3-5 years of experience in event or convention services, hospitality, or related industry
  • Experience with convention centers, hotels with meeting or ballroom space, or multi-use venues essential
  • Strong understanding of hospitality-driven event operations, service standards, and client service models
  • Strong interpersonal, organizational, and time management skills
  • Excellent communication skills including verbal, written, and presentation
  • Ability to multitask and work in fast-paced, deadline-driven environments
  • Proven customer service and conflict resolution skills
  • Financial proficiency in forecasting, billing reconciliation, and budget tracking
  • Familiarity with event services, banquet standards, venue management, culinary terminology, and room setup configurations
  • Collaborative team player with ability to coordinate across departments and contract partners
  • Working knowledge of union labor environments
  • Sales minded with customer service focus to identify upsell opportunities
  • Bilingual English/Spanish highly desirable
  • Proficient in Microsoft Office Suite
  • Knowledgeable in Momentus (Ungerboeck), AutoCAD, and database management
  • Experience with Corrigo or similar maintenance systems
  • Familiarity with Coupa or compatible procurement platforms
  • Certified Meeting Professional (CMP) preferred
  • Certified Special Events Professional (CSEP) a plus

  • OSHA 10 Certification a plus
  • Relevant certifications in sustainability, revenue management, digital strategy, or venue management valued

Job Duties

  • Serve as the primary point of contact for assigned MBCC and MBCC Campus events
  • Coordinate and conduct pre-planning site visits with clients and key stakeholders
  • Facilitate pre-conference meetings and post-event debriefs to communicate event objectives, logistics, and feedback
  • Lead clients in interpreting and complying with Event License Agreements, venue policies, and event best practices
  • Provide exceptional service to current and future clients by understanding needs, anticipating challenges, and proactively resolving issues
  • Support MBCC and GMCVB sales teams with site inspections and ensure seamless transition from sales to event management
  • Identify upsell opportunities to elevate the event experience and generate additional revenue
  • Collaborate with exclusive Food and Beverage provider and review BEO summary to ensure logistical operational needs are aligned
  • Maintain a visible presence throughout all event phases to ensure high-touch service and timely issue resolution
  • Oversee the full client experience lifecycle from sales turnover through post-event wrap-up
  • Prepare and distribute event documentation including resumes, work orders, and diagrams at least 14 days prior to the event
  • Oversee coordination of all venue services and approved event contract partners
  • Maintain onsite presence to ensure smooth communications, execution, safety, and satisfaction
  • Conduct pre, during, and post-event walkthroughs to ensure venue readiness and compliance
  • Collaborate with internal teams to resolve operational challenges
  • Leverage technology platforms for event planning, communication, and documentation
  • Prepare and distribute daily event reports to internal and external stakeholders
  • Manage Momentus/NetSuite to submit and track event work orders
  • Generate and collect event estimates for MBCC event-related charges prior to event start
  • Ensure timely submission of work orders and billing to Finance Department
  • Inform clients of any changes to charges and document accordingly
  • Support revenue forecasting and ensure procurement and financial policy compliance
  • Deliver white-glove service to clients, exhibitors, and attendees
  • Respond promptly to issues for timely resolution
  • Collaborate with Public Safety and first responders on emergency preparedness and risk mitigation
  • Maintain understanding of culinary offerings and banquet standards
  • Promote MBCC sustainability initiatives and green practices
  • Complete post-event debriefs including client surveys and follow-up
  • Lead internal and external meetings to ensure alignment and continuous improvement
  • Mentor Event Coordinators through coaching and knowledge sharing
  • Participate actively in Food and Beverage provider meetings to ensure service coordination
  • Perform other event-related responsibilities as assigned
