Job Requirements

  • Bachelor’s degree in event management, hospitality, business administration, or related field preferred
  • minimum of 3-5 years of experience in event or convention services, hospitality, or related industry
  • experience with convention centers, hotels with meeting or ballroom space, or multi-use venues
  • strong interpersonal, organizational, and time management skills
  • excellent communication skills including verbal, written, and presentation delivery
  • ability to multitask and work in a fast-paced environment
  • demonstrated customer service and conflict resolution abilities
  • financial proficiency in forecasting and budget tracking
  • familiarity with event services and banquet standards
  • collaborative team player
  • working knowledge of union labor environments
  • sales minded with ability to identify upsell opportunities
  • proficiency in Microsoft Office Suite
  • knowledgeable in Momentus, AutoCAD, and database management tools
  • experience with Corrigo or similar work order systems
  • familiar with Coupa or procurement platforms
  • Certified Meeting Professional preferred
  • Project Management or similar certifications preferred
  • OSHA 10 Certification a plus

  • working knowledge of union labor environments
  • sales minded with ability to identify upsell opportunities
  • bilingual (English/Spanish) highly desirable
  • proficient in Microsoft Office Suite

Job Duties

  • Serve as the primary point of contact for assigned MBCC and MBCC Campus events
  • coordinate and conduct pre-planning site visits with clients and key stakeholders
  • facilitate pre-conference meetings and post-event debriefs to communicate event objectives, logistics, and feedback
  • lead clients in interpreting and complying with Event License Agreements, venue policies, Event Planning Guide, and event best practices
  • provide exceptional service to current and future clients by understanding needs, anticipating challenges, and proactively resolving issues
  • support MBCC and GMCVB sales teams with site inspections and ensure a seamless transition from sales to event manager
  • proactively identify upsell opportunities to elevate the event experience and generate additional revenue
  • collaborate with exclusive Food & Beverage provider and review BEO summary to ensure logistical operational needs are aligned
  • maintain a visible presence throughout all event phases to ensure high-touch service and timely issue resolution
  • oversee the full client experience lifecycle
  • prepare and distribute event documentation at least 14 days prior to first contracted date
  • oversee coordination of all venue services and contract partners
  • maintain strong onsite presence to ensure smooth communications, event execution, safety compliance, and stakeholder satisfaction
  • conduct pre, during and post-event walkthroughs to ensure venue is event-ready and returned in original condition
  • utilize Momentus for event planning and communication
  • use Corrigo for preventive maintenance and work order requests
  • collaborate with Technical Operations Manager to estimate labor costs and coordinate AV service deposits
  • prepare and distribute daily event reports
  • leverage Microsoft Office Suite, Adobe Acrobat, and AutoCAD to support workflows
  • engage with data to support decision-making using Momentus, Coupa, Corrigo, AI, and IoT technologies
  • manage Momentus/NetSuite to submit and track event work orders
  • generate and collect event estimates for charges
  • ensure all event work orders and change orders are accurate and submitted to Finance for settlement
  • inform client of event-related changes in charges
  • support revenue forecasting
  • ensure compliance with procurement and financial policies
  • deliver white-glove service throughout event lifecycle
  • respond promptly to client, exhibitor, and attendee issues
  • collaborate with Public Safety and first responders on emergency preparedness
  • maintain knowledge of culinary offerings to align with client expectations
  • champion sustainability initiatives and green event practices
  • ensure post-event debriefs with client surveys and follow-up
  • lead internal and external meetings for alignment and operational readiness
  • mentor Event Coordinator
  • participate in Food & Beverage provider meetings
  • perform other event-related responsibilities as assigned
