Job Requirements

  • Bachelor's degree preferred
  • 3-5 years of relevant experience required
  • Experience in convention centers or similar venues essential
  • Strong communication skills
  • Ability to multitask in fast-paced environments
  • Financial and budget management skills
  • Knowledge of event management software
  • Ability to work long and irregular hours including weekends and holidays
  • Physical ability to stand, walk, balance, stoop, kneel, crouch
  • Professional appearance and grooming

Job Qualifications

  • Bachelor's degree in event management, hospitality, business administration, or related field preferred
  • Minimum of 3-5 years of experience in event or convention services, hospitality, or related industry
  • Experience working in convention centers, hotels with meeting or ballroom spaces, or multi-use venues
  • Strong interpersonal, organizational, and time management skills
  • Excellent verbal, written, and presentation communication skills
  • Ability to multitask and work in a fast-paced, deadline-driven environment
  • Customer service expertise with conflict resolution abilities
  • Financial proficiency in forecasting, billing reconciliation, and budget tracking
  • Familiarity with event services, banquet standards, venue management, and culinary terminology
  • Collaborative team player capable of coordinating across departments and partners
  • Knowledge of union labor environments
  • Sales minded with ability to identify upsell opportunities
  • Bilingual (English/Spanish) highly desirable
  • Proficient in Microsoft Office Suite
  • Knowledgeable in Momentus (Ungerboeck), AutoCAD, and database management tools
  • Experienced with Corrigo or similar maintenance management systems
  • Familiar with procurement platforms such as Coupa or similar
  • Certified Meeting Professional (CMP) is preferred
  • Certified Special Events Professional (CSEP) is a plus
  • Project Management Professional (PMP) or similar certifications preferred
  • OSHA 10 Certification is a plus
  • Continuing education in sustainability, revenue management, digital event strategy, or venue management is valued

Job Duties

  • Serve as the primary point of contact for assigned events
  • Coordinate and conduct pre-planning site visits with clients and key stakeholders
  • Facilitate pre-conference meetings and post-event debriefs
  • Lead clients in interpreting and complying with event license agreements and venue policies
  • Provide exceptional service by understanding client needs and resolving issues
  • Support sales teams with site inspections and seamless handoffs
  • Identify upsell opportunities to enhance event experiences and revenue
  • Collaborate with exclusive food and beverage providers to align logistics
  • Maintain a visible presence throughout all event phases
  • Oversee the full client experience lifecycle
  • Apply hospitality-driven planning principles and service standards
  • Prepare and distribute event documentation in advance
  • Oversee coordination of venue services and contract partners
  • Maintain strong onsite presence for execution and compliance
  • Conduct pre, during, and post-event walkthroughs to ensure readiness
  • Identify and resolve operational challenges collaboratively
  • Utilize Momentus, Corrigo, and other technologies for planning and reporting
  • Manage financial processes including event work orders and billing
  • Ensure transparency and accuracy in client charges
  • Support revenue forecasting and procurement compliance
  • Deliver white-glove service to clients, exhibitors, and attendees
  • Collaborate on emergency preparedness and risk mitigation
  • Champion sustainability initiatives and green event practices
  • Lead internal and external meetings for alignment and improvement
  • Mentor the Event Coordinator through coaching and knowledge sharing
  • Participate in food and beverage provider meetings
  • Perform other event-related responsibilities as assigned
