Job Requirements

  • 4 plus years' progressive experience in event planning and management
  • live or sporting events experience preferred
  • 1 plus years' experience leading people
  • direct reports preferred
  • direct experience managing budgets of at least 150k usd
  • bachelor's degree or higher in hospitality management, business, marketing, or related field
  • proficient computer skills including but not limited to excel, crm software, and project management tools
  • bi or multilingual preferred
  • ability to multitask in a fast-paced, deadline driven environment
  • strong time management and prioritization skills
  • highly adaptable and comfortable making decisions in new or changing situations

Job Qualifications

  • Bachelor's degree or higher in Hospitality Management, Business, Marketing, or related field
  • Minimum 4 years of progressive experience in event planning and management
  • Experience with live or sporting events preferred
  • At least 1 year of direct people management experience
  • Demonstrated experience managing budgets of at least 150K USD
  • Proficient with Excel, CRM software, and project management tools
  • Bi- or multilingual preferred
  • Strong time management, multitasking, and prioritization skills
  • Detail-oriented with innovative problem-solving abilities
  • Comfortable building collaborative relationships

Job Duties

  • Plan and deliver hospitality and event logistics for 12 or more events annually ranging from 200 to 12,000 guests
  • Design and produce brand-aligned hospitality spaces collaborating with marketing and vendors
  • Create detailed run of show documentation to ensure seamless guest experience
  • Coordinate with graphic design team for event assets like signage and credentials
  • Select, negotiate, contract, and manage vendors and suppliers for food, beverage, production, talent, and staffing services
  • Obtain permits, licenses, and contracts necessary for event execution
  • Manage on-site setup activities including overseeing vendors, equipment movement, and hospitality space preparation
  • Lead and coach one or more direct reports, set objectives, and prioritize tasks
  • Manage and monitor budget allocation, track expenses, and optimize budget utilization through negotiation
  • Collaborate with internal departments including event programs, marketing, sales, and partner management to align event execution
