Job Requirements

  • Bachelor's degree in hospitality, event planning, sports management or related field
  • Minimum of two years experience in managing large-scale conventions or trade shows
  • Experience coordinating with union labor groups and contractors
  • Ability to work flexible hours including weekends, nights, and holidays
  • Strong multitasking and organizational skills in fast-paced environments
  • Physical capability to stand for long periods and walk up to 10 miles on event days
  • Reliable transportation and punctuality
  • Proficient computer skills including scheduling and event management software

Job Qualifications

  • Bachelor's degree in hospitality, event planning, sports management or related field
  • Two years experience in the operation and execution of convention or trade shows with attendance over 5,000
  • Experience working with unions such as audiovisual, stage hands, productions, and setup staff
  • Excellent verbal, written communication, and organizational skills
  • Ability to manage multiple conflicting priorities simultaneously
  • Demonstrated leadership ability
  • Self-motivated with capability to work independently or in teams
  • Professional presentation, appearance, and work ethic
  • Proficiency in Microsoft Word, Excel, Outlook, Ungerboeck, Social Tables, and 22 Miles

Job Duties

  • Advise, guide, counsel, and meet with assigned clients regarding event details and logistics
  • Gather and organize all pertinent event information such as agenda, meeting room, labor, electrical, and security needs
  • Respond to client inquiries or direct to appropriate internal departments
  • Advise clients and service partners on operational procedures, policies, rules, regulations, and deadlines
  • Quote prices for operational and labor services not specified in contract
  • Communicate detailed requirements to operational departments clearly and timely
  • Process last-minute client changes and alert internal departments or contractors
  • Be present during event execution and serve as manager on duty when required
  • Coordinate with finance on invoicing of events
  • Prepare and distribute detailed event documents
  • Maintain contracts and correspondence related to sales accounts
  • Input and update information in the computer system
  • Prepare room diagrams for events
  • Complete final event settlements and handle inquiries
  • Meet with internal departments to discuss event requirements
  • Hold pre-event meetings with clients and departments
  • Attend departmental meetings
  • Perform related duties as assigned by the Director of Event Services
