Job Requirements

  • High school diploma or equivalent
  • Experience in event planning or management preferred
  • Ability to work flexible hours including nights, weekends and holidays
  • Valid driver’s license
  • Access to a private vehicle for business use
  • Proficiency in Microsoft Office, especially Word and Excel
  • Familiarity with DataCAD design software
  • Excellent communication skills, both written and verbal
  • Ability to manage multiple projects and meet deadlines
  • Detail oriented with strong organizational skills

Job Qualifications

  • Requires an outgoing, articulate personality with well-developed communication skills
  • Proficiency with Microsoft Office products, including Word and Excel
  • Proficiency with DataCAD design software
  • Advanced computer proficiency and ability to learn new systems and programs quickly
  • Demonstrated ability to process and implement complex instructions with superior attention to detail and consideration of short-term and long-range impacts
  • Strong verbal communication skills including consulting with clients, planning operations with staff and resolving complaints in person and on the phone
  • Strong written communication skills including composing detailed notes, documentation and sales correspondence
  • Valid driver’s license and ownership or use of a private vehicle for business use
  • Ability to work nights, weekends and holidays as directed for events

Job Duties

  • Coordinate activities with promoters, exhibitors, vendors and other external and internal departments for all tradeshows and consumer events
  • Coordinate activities with private event clients for planning and logistics of wedding receptions, banquets, business meetings
  • Work irregular schedule as required to ensure proper supervision of assigned events and activities
  • Maintain contact with promoters, repeat clients, vendors and other external stakeholders throughout the year to ensure a productive working relationship
  • Develop detailed floor plans, room diagrams and checklists for each event in accordance with applicable building fire codes and distribute to venue departments for implementation
  • Manage billing for events, including space and equipment rental charges and other building services
  • Utilize computer technology for customer relationship and event management
  • Ensure that spaces are ready when client arrives to set up or move-in
  • Assist Vice President of Sales in responding to phone, email and walk-in rental inquiries
  • Conduct tours of spaces and consult with prospective rental clients to maximize building usage
