Job Requirements
- Bachelor's degree
- minimum 5 years event management experience in convention center or large hotel hospitality
- ability to create menus and Banquet Event Orders
- knowledge of hospitality and facility management principles
- excellent organizational and communication skills
- problem-solving skills
- supervisory experience preferred
- ability to multitask and prioritize
- proficiency with Microsoft Office and event diagram software
- ability to work independently and with diverse staff
- availability for long and irregular hours including holidays and weekends
Job Qualifications
- Bachelor's degree from four-year college or university
- 5+ years related experience in the convention center or large hotel hospitality industry managing large events or conventions
- Experience creating menus for clients and BEO's
- Working knowledge of hospitality management, facility management, services and equipment for similar facilities
- Excellent organizational, planning and interpersonal skills
- Good written and verbal communication skills
- Ability to prioritize multiple projects and multitask
- Demonstrated problem-solving and communication skills
- Supervisory experience preferred
- Professional presentation, appearance and work ethic
- Proficiency in Microsoft Office and event software for drawing room diagrams
- Ability to work independently and interact at all staff levels
- Flexibility to work long, irregular hours including days, evenings, weekends and holidays
Job Duties
- Oversees all aspects of facility operations related to events by communicating with Director of Operations and/or Director of Food & Beverage
- Produce approved Banquet Event Orders (BEO's) for each event and create customized menus for Food & Beverage
- Meet with client groups to plan and organize assigned meetings and/or events
- Coordinate activities with various service contractors for assigned meetings and/or events
- Guide clients in preparation of events by interpreting and explaining contract provisions, policies and procedures
- Keep clients informed about deadline schedules, meeting room set-up specifications, insurance requirements, payment schedules, and other relevant details
- Prepare cost estimates and ensure all costs are paid before the event
- Provide clear, concise, and timely communication of detailed requirements to operational departments
- Assist in scheduling operational set-ups to provide equipment or service needs
- Monitor facility set-up when necessary and communicate issues with respective Directors
- Serve as primary liaison between clients and facility departments
- Monitor in-house events, maintaining contact with clients and staff to ensure success
- Greet clients upon arrival and stay during event duration
- Follow up on all client requests, concerns, and problems timely
- Attend planning and organizational meetings in support of facility operations
- Serve as manager on duty as required
