Job Requirements

  • Bachelor's degree in relevant field
  • Minimum 3-5 years of event planning or operations experience
  • Proven ability to manage multiple events simultaneously
  • Experience with hotels, convention centers, and specialty event venues
  • Strong project management and organizational skills
  • Ability to work under pressure and meet deadlines
  • Proficiency with event management software and Microsoft Office
  • Ability to travel as required

Job Qualifications

  • Bachelor's degree in Event Management, Hospitality, Marketing, Business Administration, or related field
  • Minimum 3-5 years of experience in event planning, operations, or venue management
  • Proven track record planning and executing multiple events simultaneously
  • Experience working with hotels, convention centers, and specialty event venues
  • Demonstrated success managing events of varying scales and complexity
  • Strong project management and strategic planning abilities
  • Excellent negotiation and vendor management capabilities
  • Outstanding organizational skills with exceptional attention to detail
  • Proficiency in event management software, registration platforms, and Microsoft Office Suite
  • Creative problem-solving mindset and ability to work under pressure
  • Superior communication and interpersonal abilities
  • Budget management and financial analysis skills
  • Certified Meeting Professional (CMP), Certified Special Events Professional (CSEP), or similar industry certification preferred
  • Experience with corporate events, conferences, trade shows, or special events preferred
  • Knowledge of AV technology, event production elements, and digital event platforms preferred
  • Experience with hybrid and virtual event planning preferred
  • Multilingual capabilities preferred

Job Duties

  • Develop comprehensive event concepts and strategic plans aligned with organizational objectives
  • Create detailed project timelines, budgets, and resource allocation plans
  • Collaborate with stakeholders to define event goals, target audiences, and success metrics
  • Conduct market research to identify trending event formats and innovative approaches
  • Obtain cost estimates and secure appropriate signoff
  • Develop and update Exhibitor Service Manuals six months prior to events
  • Manage communications including deadlines, exhibitor updates, floor plan and venue updates
  • Manage relationship with Exhibitor General Contractor and fulfillment teams
  • Oversee venue space allocation and ensure compliance with terms and conditions
  • Coordinate room setup, seating arrangements, AV requirements, and spatial planning
  • Conduct site visits and venue assessments
  • Manage registration processes and attendee communications
  • Create work-orders for AV, signage, and branding
  • Oversee on-site event execution and troubleshoot issues
  • Collaborate with venue catering on menu design and dietary accommodations
  • Plan networking events, receptions, and hospitality experiences
  • Manage beverage service including coffee breaks and receptions
  • Build and maintain vendor and supplier relationships
  • Coordinate with marketing on promotional strategies
  • Maintain detailed event documentation
  • Prepare and manage event budgets tracking expenses
  • Conduct post-event evaluations and implement improvements
  • Analyze event performance metrics and prepare reports
  • Stay current with industry trends and best practices
