Job Requirements
- Bachelor's degree and three years or of relevant experience or combination of education and relevant experience
- Valid Non-Commercial Class California Driver's License
- Demonstrated success planning events
- Ability to work both independently and as part of a team
- Ability to establish priorities, manage shifting priorities, and handle numerous time-sensitive projects with multiple deadlines
- Demonstrated creativity, problem solving skills, taking initiative, judgment, and decision-making skills
- Ability to accomplish goals working through formal and informal channels, with diplomacy and tactfulness
- Excellent interpersonal, communication, time management, and customer service skills
- Must be well organized and detailed oriented
- Knowledge of Microsoft Office suite and other online documents, such as Google Docs
- Ability to interact and successfully collaborate with a broad spectrum of contributing groups and customers
Job Qualifications
- Bachelor's degree or equivalent combination of education and experience
- Minimum three years of relevant event planning experience
- Proven success in event planning and management
- Ability to work independently and collaboratively in a team environment
- Strong organizational, communication, and interpersonal skills
- Demonstrated creativity, problem-solving, and decision-making abilities
- Experience in managing multiple time-sensitive projects and shifting priorities
- Proficiency with Microsoft Office suite and Google Docs
- Ability to interact and collaborate successfully with diverse groups
Job Duties
- Plan client meetings to organize event logistics and define event scope
- Oversee the smooth delivery of services and directly supervise staff when necessary
- Evaluate overall event plans to determine and anticipate client needs
- Work independently and collaboratively within the Event Services team
- Schedule staff, contractors, and equipment to ensure successful event outcomes
- Play an active role in managing major campus-wide events such as New Student Orientation and Commencement
- Maintain detailed records related to venues and vendors
- Meet with stakeholders to plan event scope, monitor budgets, and review administrative procedures
- Serve as project leader coordinating teams to plan, implement, and manage events
- Manage budget planning, venue, equipment, and facilities management
- Build and maintain relationships with internal and external partners
- Negotiate contracts with vendors to reduce risks and liabilities
- Research and recommend potential event locations and evaluate alternatives
- Procure and coordinate vendor services
- Perform other duties as assigned
