Job Requirements

  • Bachelor's degree and three years or of relevant experience or combination of education and relevant experience
  • Valid Non-Commercial Class California Driver's License
  • Demonstrated success planning events
  • Ability to work both independently and as part of a team
  • Ability to establish priorities, manage shifting priorities, and handle numerous time-sensitive projects with multiple deadlines
  • Demonstrated creativity, problem solving skills, taking initiative, judgment, and decision-making skills
  • Ability to accomplish goals working through formal and informal channels, with diplomacy and tactfulness
  • Excellent interpersonal, communication, time management, and customer service skills
  • Must be well organized and detailed oriented
  • Knowledge of Microsoft Office suite and other online documents, such as Google Docs
  • Ability to interact and successfully collaborate with a broad spectrum of contributing groups and customers

Job Qualifications

  • Bachelor's degree or equivalent combination of education and experience
  • Minimum three years of relevant event planning experience
  • Proven success in event planning and management
  • Ability to work independently and collaboratively in a team environment
  • Strong organizational, communication, and interpersonal skills
  • Demonstrated creativity, problem-solving, and decision-making abilities
  • Experience in managing multiple time-sensitive projects and shifting priorities
  • Proficiency with Microsoft Office suite and Google Docs
  • Ability to interact and collaborate successfully with diverse groups

Job Duties

  • Plan client meetings to organize event logistics and define event scope
  • Oversee the smooth delivery of services and directly supervise staff when necessary
  • Evaluate overall event plans to determine and anticipate client needs
  • Work independently and collaboratively within the Event Services team
  • Schedule staff, contractors, and equipment to ensure successful event outcomes
  • Play an active role in managing major campus-wide events such as New Student Orientation and Commencement
  • Maintain detailed records related to venues and vendors
  • Meet with stakeholders to plan event scope, monitor budgets, and review administrative procedures
  • Serve as project leader coordinating teams to plan, implement, and manage events
  • Manage budget planning, venue, equipment, and facilities management
  • Build and maintain relationships with internal and external partners
  • Negotiate contracts with vendors to reduce risks and liabilities
  • Research and recommend potential event locations and evaluate alternatives
  • Procure and coordinate vendor services
  • Perform other duties as assigned
