Job Requirements

  • Four-year college degree preferred
  • At least two years working in event planning or management
  • Must be able to stand and walk for long periods
  • Must be able to carry full service tray comfortably
  • Must be able to lift at least 30 pounds
  • Must pass background check.

  • Advanced knowledge of event planning
  • Working knowledge of other major hotel areas
  • Competent with Windows-based computers
  • Proficient in Microsoft Office
  • Familiar with industry standard software
  • Demonstrated management skills

Job Duties

  • Ownership of all events from planning to execution with guidance and oversight from Director of Food & Beverage
  • Work directly with clients to plan all details of their event including menus, set-ups and floorplans, AV needs, timelines
  • Create innovative set-ups, menus, and functions for groups
  • Ensure successful events exceeding client needs and company profitability guidelines
  • Plan and execute all 21c/in-house events and assist in off-site events as needed
  • Answer questions from clients confidently
  • Sell items and services offered and ensure successful execution
  • Generate creative and innovative menus while working closely with Chef
  • Coordinate with Event Sales Manager and Executive Chef to ensure profitable bookings
  • Evaluate each piece of catering business with Event Sales Manager
  • Assist Event Sales Manager with incoming client inquiries and develop relationships with new clients including menu selection, audio visual needs, event space set up, logistics and timelines, special requests
  • Develop strong communication with Executive Chef and Food & Beverage team
  • Develop a preferred vendors list and maintain vendor relationships
  • Lead and manage Event Captains, servers, and bartenders
  • Hands-on management of events to ensure success including setting up tables, running food, making drinks, running AV equipment
  • Maintain and implement efficient set up and tear down details and processes
  • Uphold and improve 21c Service Standards
  • Monitor server hours and overtime
  • Organize return of any rental equipment
  • Maintain good working relationships with guests, groups, and other department leaders
  • Demonstrate clear, concise written and verbal communication
  • Adhere to deadlines
  • Maintain lines of communication between Banquets & Catering and restaurant
  • Follow accounting processes regarding revenue reporting ensuring all events are reported
  • Review Daily Revenue Report for accuracy
  • Control expenses to budget and reconcile according to procedures
  • Review General Ledger and reconcile with Checkbook
  • Conduct interviews, hire Banquets & Catering team, implement training and evaluate team
  • Track team calendar and write schedule for Event team
  • Follow all HR processes including Personnel Action Forms, time clock activity reviews, and performance review cycles
  • Maintain and update Delphi regarding events and menus
  • Upkeep signage, menus, food labels
  • Inform management team of daily event needs
  • Update posted Banquet Event Orders (BEOs)
  • Provide clients with responsive and informative feedback
  • Lead weekly BEO meetings
  • Inventory Banquets & Catering supplies and place orders
  • Perform accurate inventory of China, Glass, Silver, Serveware
  • Assist with Banquets & Catering Executive Summary
  • Develop and lead quarterly Event team trainings.
