Job Requirements

  • Bachelor's degree
  • 3+ years of experience planning and executing in-person events conferences or meetings
  • Experience managing AV venue selection vendor negotiations and on-site logistics preferred
  • Strong written and verbal communication skills
  • Effective negotiation and vendor management
  • Attention to detail and problem-solving ability
  • Strategic thinking and cross-functional collaboration
  • Proficiency in Microsoft Office Suite Adobe PDF Zoom Microsoft Teams
  • Ability to travel up to 25%
  • Must be able to work in a hybrid role based in Cranbury NJ

  • Experience with Workfront or other project or event management tools is a plus

Job Duties

  • Manage end-to-end logistics for conferences and in-person events from early planning to on-site execution and post-event follow-up
  • Negotiate and secure quality vendors at cost-effective rates ensuring contract alignment with event goals budget and timelines
  • Evaluate book and manage venues including space usage and cancellation clauses
  • Monitor hotel room blocks adjust for changing demand and coordinate with hotels to avoid shortages or overages
  • Define and manage AV and production needs ensuring technical excellence across presentations sound and lighting
  • Work with catering vendors to select thoughtful inclusive menus accommodating dietary needs and budget goals
  • Coordinate production and shipment of signage branding and materials ensuring timely on-site arrival
  • Use Workfront to manage event timelines and tasks keeping stakeholders informed with regular status updates
  • Collaborate with project managers to determine on-site staffing needs and roles and provide hands-on support during setup execution and breakdown
  • Conduct post-event debriefs and performance reviews leveraging feedback to improve future events
