Job Requirements

  • Eligible to work in the United States without requiring university sponsorship
  • One year demonstrated event experience
  • Four years work experience or a bachelor’s degree
  • Collaborative and team approach to work
  • Passion for providing exceptional customer service
  • Proofreading and written communications skills
  • Solid knowledge and experience using Microsoft Office software
  • Willingness to work overtime including early mornings, evenings, weekends, and holidays
  • Ability to travel as required including during holidays

Job Duties

  • Plan, manage, and execute logistics for university-wide development, ceremonial, and presidential events
  • Oversee facility selection, contract negotiations, food and beverage selections, audiovisual services, transportation, decor, and entertainment
  • Provide direction to university service departments and external vendors
  • Manage on-site staff and vendors during events
  • Collaborate with event design team on invitations, printed programs, and promotional materials
  • Create venue diagrams and maps to support event logistics
  • Prepare budget projections and reconcile final vendor payments
  • Write staffing plans and manage on-site event teams
  • Produce technical agendas for virtual and hybrid events
  • Participate in planning meetings and update planning calendars and project management system
  • Support or lead special projects including new technology initiatives and event inclusivity practices
  • Share information for creation and maintenance of event materials, webpages, and registration forms
