Serving as the central communication hub for event-related information, the coordinator is responsible for developing detailed Event Books that outline every aspect of upcoming events. These documents include the timeline, client and venue details, menu offerings, staffing assignments, equipment needs, and any special instructions vital for successful event delivery.

Managing event data using Nowsta, a specialized event scheduling and staffing platform, the coordinator uploads event information, assigns staff shifts, and tracks any changes to event logistics. This digital management ensures all employees have access to up-to-date information such as event locations, call times, uniforms, and important notes. Timely and clear communication is a core part of this role, as the coordinator must notify staff promptly about any changes or updates that affect event preparation or execution.

Collaboration is critical in this position. The coordinator works closely with the event sales team, operations, culinary department, and staffing to confirm accuracy and alignment across all departments. By monitoring upcoming events and verifying completeness of staffing and documentation, the coordinator flags potential issues before they occur, guaranteeing all teams are prepared and equipped to deliver outstanding service. Job Duties

  • Create detailed Event Books for all upcoming events
  • Ensure event books include timeline and schedule, client information, venue details, menu and service style, staffing assignments, rentals and equipment needs, special notes or client requests
  • Ensure Event Books are complete and distributed on schedule
  • Upload all event information into Nowsta
  • Assign and confirm staff shifts
  • Ensure accurate event details are visible to staff including event location, call times, uniform requirements
  • Update events as details change
  • Serve as the primary coordinator for event updates
  • Communicate all schedule or logistics updates to staff
  • Notify team members of call time changes, venue updates, menu or service changes, staffing adjustments
  • Ensure staff are informed and prepared for each event
  • Work closely with event sales team, operations team, culinary team, staffing and scheduling team
  • Confirm that all event information is accurate and aligned across departments
  • Monitor upcoming events to ensure all staffing is confirmed, event documentation is complete, all teams have the information they need
  • Flag any missing information or issues before the event date
