Job Requirements

- experience in event operations or project management
- ability to manage complex logistics and multiple stakeholders

- familiarity with health, safety, and security protocols

Job Duties
- Manages all pre- and onsite facility interactions including venue, decorator, freight, audio visual, and virtual/hybrid platform
- works with marketing and registration to coordinate exhibitor and attendee registration including lead retrieval systems
- manages larger project teams overseeing preconference logistics such as show information documents, temporary space arrangements, signage, and ordering convention materials
- manages keynote speaker support including onsite logistics, audio-visual needs, rehearsal schedules, set design and attendee seating plan
- communicates and completes food and beverage orders
- oversees speaker, conference content, and program budgets including correspondence, contracts, payments and event updates
- sets up and leads event pre-con meetings with all key suppliers and stakeholders
- manages logistical needs onsite including parking, audiovisual, facilities contracts, security and medical personnel
- hires, manages, schedules, and trains temporary staff
- assists in development of annual budgets and monthly forecasts
- acts as health, safety, and security advocate including risk assessments and incident response plans
- leads event planning meetings providing updates and proposing resolutions
- coordinates exhibitor health and safety sign off process and liaises with suppliers and team
