Job Requirements

  • Bachelor's degree in marketing, communications, public relations, public administration, business administration, or a related field
  • two years of related work experience as a special event coordinator
  • any equivalent combination of related education and/or experience may be considered
  • complete a post-offer medical examination and background investigation
  • comply with all County safety guidelines
  • this position is considered safety-sensitive
  • employment is subject to pre-employment and random drug testing in accordance with applicable federal and state regulations
  • complete all required FEMA training(s) as assigned to the position
  • complete mandatory supervisor training, if applicable
  • possess a valid New Mexico driver's license by the employment start date and maintain it throughout employment

Job Qualifications

  • Bachelor's degree in Marketing, Communications, Public Relations, Public Administration, Business Administration, or a related field
  • two years of related work experience as a special event coordinator
  • knowledge of event coordination and planning principles
  • excellent organizational and communication skills
  • ability to manage multiple projects and stakeholders
  • familiarity with permit, licensing, and insurance compliance
  • experience in vendor management
  • ability to work flexible hours including evenings and weekends
  • strong interpersonal and leadership abilities
  • proficiency with scheduling and budgeting
  • competency in using computer software for office tasks

Job Duties

  • Plan, develop, coordinate, and oversee County sports events, leagues, and fitness programs
  • recommend new offerings and improvements to existing programs
  • train section staff on the principles and history of sports and fitness, including league scheduling, tournament brackets, and tournament operations
  • maintain the master schedule for PROS outdoor facility use and monitor related facility use agreements
  • serve on the Bernalillo County Youth Sports Commission, which reports to the Board of County Commissioners
  • serve and support the Bernalillo County Special Event Review Committee
  • act as liaison for public/private functions to ensure all elements of the event are planned and executed
  • serve as lead coordinator on special projects and events at County facilities
  • recruit and manage event vendors
  • review permits, licenses, and insurance for compliance with County and state regulations
  • work on-site during events to coordinate set-up, logistics, load-in, cleanup, and tear-down
  • conduct post-event evaluations to improve future events
  • create and distribute public information about programs, facilities, and activities
  • meet with neighborhood associations, teams, and officials as assigned
  • consult with departments regarding event planning, including budgeting, historical background, and goals
  • supervise and provide consultative or project leadership on assigned special event projects as needed
  • build and maintain partnerships with outside organizations to support new and ongoing programming
  • attend other events for outreach, networking, and research on trends in sports and event programming
  • verify and approve contractual payroll based on league game reports from field and gym supervisors
  • prepare and present monthly departmental reports
  • work evenings and weekends as required
  • handle sensitive or confidential records, plans, documents, or decisions while maintaining confidentiality
