Job Description

The Archdiocese of Milwaukee is a prominent religious organization serving more than 500,000 people daily through its diverse ministries aimed at proclaiming the Gospel of Jesus Christ. Job Requirements

  • High school diploma or equivalent
  • Bachelor’s degree preferred
  • 1-3 years of event coordination or similar experience
  • Minimum of 3 years administrative experience with Microsoft Suite
  • Ministry experience preferred
  • Practicing Catholic with knowledge of archdiocesan policies preferred
  • Bilingual in Spanish or American Sign Language strongly preferred
  • Ability to recruit and manage volunteers
  • Excellent time management and multitasking skills
  • Ability to prioritize tasks with minimal supervision
  • Strong organizational and intercultural communication skills
  • Proficient in Microsoft Office Suite and web-based applications
  • Critical thinking and problem-solving abilities
  • Knowledge of financial procedures and basic bookkeeping
  • Attention to detail
  • Strong written and oral communication skills
  • Proficiency with registration and collaboration platforms
  • Valid driver’s license and reliable vehicle
  • Ability to work evenings and weekends
  • Physical ability to lift up to 35 pounds
  • Willingness to travel throughout the Archdiocese for events

Job Qualifications

  • High school diploma or equivalent required
  • Bachelor’s degree preferred
  • 1-3 years of experience as an event coordinator or similar role requiring planning, coordination, virtual collaboration, and organizational skills
  • Minimum of 3 years of administrative experiences using Microsoft Suite applications
  • Ministry experience preferred
  • A practicing Catholic who is knowledgeable of archdiocesan structures, policies, and practices preferred
  • Bilingual in Spanish or American Sign Language strongly preferred
  • Ability to recruit and manage volunteers
  • Excellent time management skills and ability to set and manage multiple priorities simultaneously
  • Ability to manage diverse projects and deadlines, and to prioritize tasks with minimal direction
  • Strong organizational skills, intercultural communication skills
  • Advanced knowledge and skills to design and edit data, documents, and content using Microsoft Office Suite and other office technologies and web-based applications for planning, communication, and supporting in person and virtual meetings
  • Critical thinking skills and problem-solving skills to resolve relational situations and work process issues
  • Knowledge of financial procedures, basic bookkeeping, and Excel skills to record, track, and manipulate data
  • Attention to detail and ability to meet deadlines
  • Strong written composition and oral communication skills
  • Strong proficiency in registration and collaboration applications

Job Duties

  • Coordinates and facilitates participant registrations, communication, promotion, and post-event follow-up
  • Provides administrative support to the Office of Evangelization and Catechesis, including basic bookkeeping and reports for review by the Director
  • Collaborates with the Director and Associate Directors and assist in planning events, programs, and meetings
  • Schedules events, secures venues, logistics for space, equipment, food, materials, etc.
  • Assists in communication related to events and programs (email correspondence, promotional materials, publicity, thank you letters, etc.)
  • Manages hospitality, registrations, payments, and refunds, processing invoices, and responds to calls and participant needs
  • Coordinates office resources, volunteers, vendors, caterers, exhibitors and presenters
  • Updates archdiocesan website as needed and create registration pages for programs and events
