Job Requirements
- High school diploma or GED required
- At least 5 years of experience in event planning
- Proficiency in MS Word, Excel, and Outlook
- Ability to organize and coordinate multiple priorities
- Strong customer service skills
- Ability to lead a team
- Ability to solve problems effectively
- Ability to sit at a desk and stand or walk throughout the workday
- Ability to read and communicate clearly in English
- Ability to perform occasional physical activities such as stooping or kneeling

Job Duties
- Oversee meetings and events within the Washington office conference center including catering, audio/visual, technology, staffing, and outside resources
- Oversee conference scheduling mailbox to ensure reservationists are properly responding to meeting requests
- Regularly inspect meeting rooms and service areas to verify accurate setup, cleanliness, and organization
- Provide on-site management of special events
- Serve as a liaison to external vendors for on-site events
- Present conference facilities to clients and external organizations
- Liaise with in-house catering regarding menu selections and coordinate seasonal catering menus
- Monitor and review inventory on all conference center equipment and maintain inventory management system
- Supervise conference scheduling reservationists
- Assist with conference reservation system
- Conduct pre and post event meetings to review and communicate group needs and feedback
- Review and approve vendor invoices
- Regularly update conference room daily inspection guidelines
- Collaborate with multiple departments to identify, track, and execute monthly office events
- Maintain a monthly calendar of events
- Communicate service changes to appropriate teams
- Prepare event debriefs and maintain event notes
- Manage list of allergies and dietary restrictions for firm leadership
- Prepare complex event budgets and process expenses
