Job Requirements
- Bachelor's degree or equivalent credit hours required
- Two or more years of events management experience and/or training
- Ability to effectively interact with a wide variety of people in a manner that positively portrays the College and its programs personnel and philosophies
- Ability to work independently as well as establish and maintain harmonious relations with other staff volunteers and College leaders
- Strong English communications skills both verbal and written
- Ability to execute physical activities required to perform the essential functions including sitting or standing for extended hours continual talking and listening to clients both in person and on the telephone and all other activities required to perform essential functions

- Experience with donor software systems preferably Raisers Edge
- Experience with online fundraising platforms preferably GiveSmart
Job Duties
- Develop and manage event budgets ensuring cost-effectiveness and timely reconciliation of expenses
- Secure and coordinate with vendors including caterers decorators A/V technicians venues and rental companies
- Prepare event materials including signage name tags registration lists programs and promotional items
- Create and manage event timelines and production schedules to ensure all logistics are executed smoothly
- Conduct post-event evaluations gathering feedback from attendees and stakeholders to assess outcomes and areas for improvement
- Ensure compliance with college policies and procedures including risk management and accessibility standards
- Oversee event setup and breakdown including on-site troubleshooting and managing logistics in real time
- Maintain event records including contracts attendee data donation reports and photo/video archives
- Support digital engagement efforts including RSVP systems online event platforms and event marketing via social media or e-newsletters
- Stewardship of event donors
- Coordinate all event planning committee meetings and manage volunteers staff and external
- Coordinate President's Office events such as Annual President's Reception and smaller boutique gatherings i.e. Tea's
- Coordinate marketing/branding events e.g. ribbon-cuttings grand reveals etc. as assigned
- Support Development team's efforts Foundation Board Alumni Relations Scholarships etc. by completing additional duties as assigned
- Coordinate from start to finish following events Golf Classic Athletics Hall of Fame Kick-Off Event Scholarship Reception Event Spring Scholarship Fundraiser - Spring Into Student Success! Athletics Hall of Fame Induction Ceremony Donor Stewardship events as needed e.g. wine tasting at private home Development Cultivation events e.g. Giving Tuesday coffee w/Faculty & Staff
- May coordinate student workers and contractors if needed for specific events
- Collaborate with the Director of Development & Alumni Relations and the Administrative Assistant to coordinate guest lists and manage event invitations
- Must be willing to work overtime including evenings and weekends as needed
