Job Description

Fuller Theological Seminary, a renowned educational institution dedicated to theological education and spiritual formation, is seeking a skilled Event Coordinator for its Houston, TX campus. Fuller Seminary is known for its commitment to supporting students, faculty, and the broader community through diverse academic offerings and meaningful events. As a part-time role within the Fuller Texas (FTX) department, this position entails working 10-20 hours per week with a non-exempt employment status and pays an hourly rate of $22-$25. The Event Coordinator will report directly to the Chancellor of Fuller Texas and be an integral part of the FTX team, collaborating closely with the Stratcom department based in Pasadena to ensure cohesive and consistent Fuller-branded event experiences.

The Event Coordinator plays a vital and dynamic role in orchestrating and supporting a wide range of events, hospitality needs, and third-party arrangements on the FTX campus. This position requires superb organizational skills, attention to detail, and excellent interpersonal communication to not only manage scheduling and logistics but also promote Fuller Seminary’s mission and vision through meaningful event experiences. Working collaboratively with marketing teams, vendors, and the broader Fuller community, the Event Coordinator will ensure that all aspects of event production from initial planning to execution run smoothly and professionally.

Key responsibilities include managing event timelines and schedules using tools like ClickUp, handling RSVPs and communications through Eventbrite, overseeing venue setup and breakdown, and maintaining hospitality supplies and break room operations. Additionally, the coordinator will support team planning efforts, attend weekly meetings, and interface regularly with Pasadena’s Stratcom team and third-party event organizers to meet Fuller’s high standards.

This role demands an energetic, self-driven approach to managing multiple projects simultaneously and adjusting priorities as needed. The ideal candidate will demonstrate excellent oral and written English communication and a strong customer service attitude even in challenging scenarios. Physical requirements include the ability to stand for extended periods and handle moderate lifting tasks, reflecting the hands-on nature of the position during event setups.

Job Requirements

  • Must be willing to abide by Fuller Community Standards
  • must be able to run errands for events
  • able to stand up to 4 hours at a time during events
  • able to lift 30 pounds onto a cart, push/pull 120 pounds on a cart, and climb stairs and stepladders
  • must be willing to work in person for all key seminary events including occasional early mornings, evenings, weekends, and holidays as scheduled
  • flexible schedule with the ability to work varying hours depending on event needs
  • able to travel to Pasadena or Phoenix campuses to support events as needed
  • able to attend Stratcom team meetings remotely

Job Qualifications

  • Bachelor’s degree or equivalent
  • a minimum of three years of event experience
  • high proficiency in Google Suite

Job Duties

  • Provide coordination and on-campus support for all FTX events
  • create, manage, and execute event production schedule in ClickUp
  • work closely with marketing in event promotion
  • oversee event communications including RSVPs and Eventbrite communications
  • prepare event timelines including Play by Play and Program Agenda
  • serve as primary campus liaison with vendors and oversee delivery schedules, rentals, catering, and event equipment
  • oversee event setup and teardown and manage event storage organization
