Job Requirements

  • Bachelor's degree
  • 3-5 years of event planning experience or 5-7 years related experience with documented accomplishments
  • strong leadership skills

  • proficiency with Outlook, Microsoft Teams, Zoom, Google Suite, and Microsoft Office

  • capacity to travel extensively during peak seasons
  • ability to supervise and support teams in fast-paced environments

Job Qualifications

  • Bachelor's degree
  • 3-5 years of direct event planning experience or 5-7 years in related fields with proven accomplishments
  • high level of leadership and organizational skills
  • strong problem-solving and decision-making abilities
  • proficiency in Microsoft Office Suite, Teams, Outlook, Zoom, and Google Suite
  • ability to manage multiple projects and meet deadlines
  • excellent written and verbal communication skills
  • customer service orientation and collaboration skills
  • experience with contract negotiations
  • preferred experience with Cvent Event Management software, including AttendeeHub and OnArrival
  • comfortable with virtual meeting platforms
  • knowledge of web design platforms like WordPress
  • familiarity with graphic design software such as Adobe Illustrator, InDesign, and Photoshop
  • master's degree preferred
  • experience in convention and conference planning preferred

Job Duties

  • Manage large-scale events from strategic development through execution and close-out
  • procure and manage vendors including venues, caterers, and audio/visual services
  • oversee event sessions, presenters, and registration management
  • maintain event communication and coordination among sponsors and Event Team
  • conduct logistics and planning meetings with all stakeholders
  • ensure all event timelines are monitored and adhered to throughout the project lifecycle
  • manage on-site event operations and team member supervision
  • communicate event schedules and updates to all parties involved
  • delegate tasks responsibly to team members and vendors
  • manage event budgets and ensure costs align with project financial plans
  • negotiate contracts with hotels and venues
  • document all event expenditures in expense trackers
  • travel extensively during peak event periods
  • support execution and management of vendor contracts
