Job Requirements
- High school diploma or equivalent
- Previous administrative experience preferred
- Strong communication skills
- Proficiency in Microsoft 365
- Ability to manage multiple tasks efficiently
- Experience with Cvent is beneficial
- Willingness to work part-time, 10 to 20 hours per week
- Ability to work on-site in person
- Ability to maintain confidentiality and professionalism
- Adaptability to fast-paced event environments
Job Qualifications
- Previous experience in an administrative assistant or coordinator role is preferred
- Experience specifically within the events industry is a significant plus
- Exceptional written and verbal communication skills
- Proficiency in Microsoft 365
- Experience with Cvent is a plus
- Demonstrate an ownership mentality with proactive process improvements
- Ability to remain calm and organized in a fast-paced environment
Job Duties
- Act as the first point of contact for ScaleCon inquiries
- Monitor and respond to emails from attendees, speakers, and vendors
- Serve as the main point of contact for speaker and sponsor questions
- Collect necessary deliverables from speakers and sponsors including headshots, slide decks, sponsor logos, and booth requirements
- Ensure flawless execution of sponsorship perks such as booth placement, signage placement, digital mentions, and stage time
- Provide timely and helpful responses to attendee questions regarding registration, logistics, and programming
- Manage deployment schedule for event-related emails including marketing blasts and informational updates
- Ensure all email communications are formatted correctly, links are functional, and the tone aligns with ScaleCon brand
- Maintain a consistent feedback loop with the Events Director, provide status updates, and flag missing deliverables
- Independently manage administrative checklists, venue requirements, vendor orders, and internal deadlines
- Keep all event documentation accurate, organized, and up-to-date
