Job Requirements

  • 3-5 years of experience in business event coordination or B2B/B2C marketing coordination
  • Ability to maintain high-level responsiveness and professionalism
  • Ability to multitask and creatively problem solve under deadlines
  • Superb organization and communication skills
  • Tech savvy with MS Excel and Word required
  • Experience with Salesforce and Cvent preferred
  • Ability to draft accurate and detailed emails
  • Eligible to work in the U.S. with no restrictions or sponsorship
  • TN visa accepted

Job Duties

  • Daily orchestration of registration activities and communications
  • Point of coordinating small events ensuring all logistical details are handled with precision
  • Drive project timelines to stay organized and meet deadlines
  • Support the event lifecycle from initial requests through execution and post-event reporting
  • Monitor and evaluate the success of events and suggest improvements
  • Participate in meetings with cross-functional partners to provide input on event strategies and gather feedback
  • Serve as main liaison for communications such as save-the-dates, invitations, registrations, and confirmations
  • Contribute to venue selection processes
  • Orchestrate hotel room blocks and maintain accurate rooming lists
  • Support on-site execution, staffing, and vendor management
  • Join pre-conference calls and assist with data entry
  • Master usage of EMS and manage guest logistics
  • Understand meeting room capabilities and catering offerings
  • Use technology tools like Salesforce, Cvent, and MS Office for accurate data entry and communications
  • Support KPI measurement and event success reporting
  • Maintain confidentiality of proprietary information
  • Actively pursue professional development opportunities
