Job Requirements

  • Bachelor's degree in event management hospitality marketing communications or related field
  • minimum 2-3 years experience in event planning and coordination
  • strong organizational skills and project management experience
  • excellent communication and interpersonal skills
  • proficiency in project management software and Microsoft Office Suite
  • ability to work evenings and weekends as needed for event coverage

Job Duties

  • Plan and manage all event aspects including concept development invitation design and guest list creation
  • coordinate with internal stakeholders and external clients to define event goals audiences and logistical requirements
  • oversee logistics for both internal and external events including venue setup catering decor AV needs and security
  • prepare and manage event schedules including run-of-show timelines
  • act as the primary contact for facilities IT public safety and other support teams
  • serve as main liaison for clients managing communications from inquiry through follow-up
  • conduct pre-event planning meetings and walkthroughs
  • develop and oversee event budgets tracking expenses
  • manage vendor relationships negotiating contracts
  • provide on-site event management directing staff and addressing real-time needs
  • ensure all event elements meet quality standards
  • conduct post-event evaluations and prepare reports on outcomes
