Job Requirements
- high school diploma or equivalent
- minimum of three years of event planning experience in a corporate or conference setting
- strong verbal and written communication skills
- excellent organizational and time management abilities
- ability to manage multiple tasks with minimal supervision
- ability to work onsite during the conference week including evenings
- proficiency in Microsoft Office and event registration software
- strong customer service and relationship-building skills
Job Qualifications
- degree in hospitality management, public relations, or a relevant field, or equivalent experience
- minimum of three years of experience in corporate event or conference planning
- proven track record of organizing successful professional events for 450-plus attendees with verifiable references
- proficient in registration software and Microsoft 365 solutions including Word, Excel, PowerPoint, Outlook, and Teams
- excellent verbal and written communication skills
- ability to identify potential risks, troubleshoot issues onsite, and manage contingency plans
- availability to work onsite including evenings during the conference week
Job Duties
- support the development of the conference agenda including timelines for each day of the inPOWER conference
- coordinate the overall logistical execution of the inPOWER conference including room setup, menu planning, AV needs, hotel blocks, conference registration, and attendee materials
- liaise with vendors and venue staff to ensure smooth operations and logistics alignment
- plan conference events with attention to financial and time constraints
- assist with scheduling blocks for speakers, rooms, booth assignments, and sponsorship
- research vendors for evening events and select based on quality, cost, and conference alignment
- lead on-site operations during the conference including AV setup testing, registration desk management, and serving as primary contact for sponsors, speakers, attendees, and venue staff
- oversee conference events on site and resolve any problems promptly
- evaluate the success of the conference and submit a summary
